    Hi all! We are back with our next edition of the Tip of the Week discussion!

    Did you know – there are over 400 data tags available in Event Management? I am sure that using data tags can be confusing sometimes. So, today, let's look at some key data tags you can use while sending out emails to invitees, or during the registration process.

    NOTE: Some data tags have two versions-Link and URL. If you're not sure when to use which, take a look at "Should I use a URL or Link data tag?"

    • Invitee:
    • {[C-CONFIRMATION NUM LINK]} or {[C-CONFIRMATION NUM URL]}: Inserts a link that, when clicked, will send the invitee an email containing their system-generated confirmation number. If using the link version, the default text will simply read "Click here."
    • {[C-CURRENT REGISTRATION]}: Creates a table that displays what someone selected during registration, including admission items, optional sessions, optional items, and answers to registration questions. You can modify what questions appear or add more text below sessions, but nothing else can be customized.
    • {[C-PRIMARY REGISTRANT REGISTRATION INFORMATION]}: Brings up the registration information for the invitee only, including all travel details.
    • {[C-MY AGENDA:ANN]}: Creates a table that displays the sessions an invitee has registered for, including their date, time, and location. When selecting this tag, you'll choose what types of sessions should be included, and if the session custom fields and codes will display. Your choice will replace the "ANN" section of the tag.
    • {[C-MY SESSIONS: parameters]}: Displays a list of the sessions an invitee has registered for. When selecting this tag, you'll choose what types of sessions should be included and how they should be separated. Your choice will replace the "parameters" section of the tag.
    • {[E-NAME BADGE LINK]} or {[E-NAME BADGE URL]}: Inserts a link that, when clicked, prints the registrant's name badge. If using the link version, the default text will read "Click here to print the name badge."

    • Registration:
    • {[E-RSVP NO LINK]} or {[E-RSVP NO URL]}: Inserts a link that, when clicked, declines the invitee from the event and triggers the regret email. If using the link version, the default text will read "No." This data tag is also known as the decline link.
    • {[E-FEEDBACK LINK]} or {[E-FEEDBACK URL]}: Inserts a link that, when clicked, opens the Feedback survey. If using the link version, the default text will read "Click here to respond."
    • {[P-FIRST NAME]}: Inserts the event planner's first name.
    • {[P-LAST NAME]}: Inserts the event planner's last name.
    • {[E-RSVP YES LINK]} or {[E-RSVP YES URL]}: Inserts a link that, when clicked, takes the invitee to the first page of registration. If using the link version, the default text will read "Yes." This data tag is also known as the registration link.
    • {[SS-LOCATION: Code]}: Displays the location of the session selected.
    • {[E-CALENDAR LINK]} or {[E-CALENDAR URL]}: Inserts a link that, when clicked, opens a calendar appointment for the event. The recipient can choose which calendar program they want to use to open the appointment. The appointment will populate with the event's title, start date and time, end date and time, and description.
    • {[SS-REG INFO:CODE]}: Inserts the content in the Registration Information field of the session selected.
    • {[SS-ASSIGNED SPEAKERS:CODE]}: Inserts a table with the selected session's associated speaker name, title, company, and category.

    This is great information! I use data tags when emailing out communications to multiple attendees, and when creating name badges with additional details.

    I love using data tags throughout the website, registration process and emails. It's become a really great way to be able to update information that appears in multiple places. One of the best examples of this is our hotel deadline date. We have this located on the website, as well as in multiple emails. By creating a custom data tag for this, if the deadline changes because we were able to get an extension, I don't have to open up all those emails and change it, I can just update the data tag and the change cascades everywhere. It's been an absolute time saver.

    I love the efficiency using data tags and content blocks! I would love to use the air actuals tag but it shows the airfare dollar value, and we can't have that displaying in emails. 
    Can the dollar value be hidden/masked? or an alternate data tag be created that omits the cost?
    It would be a huge breakthrough and simplify our pre-travel communications to have a usable data tag for PNR.

    You have to start using data tags and emails throughout the event build from the moment you start to really take advantage. It helps when we have last minute change in timings or information about the event that we can update everywhere with one change vs. manually finding things in 20 spots to update.

    These are a great breakdown of the data tags available to use! Our team found these to be helpful when booking hotels for our attendees and we used data tags to send confirmation codes to everyone so they had the information they needed when they arrived to the event hotel.

    I like the data tags mostly for registration confirmations & the "countdown to the event" emails we send out the week before. It's great to have the attendee-specific information customized right in those emails, so they have a preview before logging into their Attendee Hub.

    I use data tags at all stages from event pages, reg pages, and emails. I tend to prefer the URL version so that I can rename the link to fit my needs. I've also used data tags behind custom button images to provide a better user experience. We've developed custom data tags for things like our company's privacy policy and a few other items we tend to use across all event sites. Data tags save so much time and help provide consistency in our processes.

    Benefits: If there is a change to the date, time, location it will change everywhere and you don't need to do additional work. I encourage my team to always use them.

    I use data tags every chance I can, it makes updates so much easier. An enhancement would be how they appear (i.e. start time) so that we can customize it to how our org likes things to appear. For instance, 9-10 a.m. is not an option, it has to be 9:00 am - 10:00 am. 

    I also use content block tags for all of our disclosures, as they are changing from time to time. 

    If there is a list of all available data tags, that would be a great reference tool - as I'm sure there are ones that I'm not aware of.

    We regularly use data tags as part of the registration e-mail confirmation process. It makes things very efficient.

    We use data tags whenever and where ever we can to save time and create templates. We even use custom data tags throughout the site. Data tags all around!!!
