  • 1.  Auto-sending an Invitation to New Members added to Invitation List on Rolling Basis

    Hello, 

    We've hit a snag in our event invitation process and are exploring whether Cvent can help automate part of it.

    The issue is that we don't yet have a finalized invitation list due to factors outside our control. As new members are added, we'd like them to automatically receive the event invitation-without having to manually send it each time.

    Currently, I've found that we can manually add invitees through the Attendee List by selecting "Add an Invitee" and choosing "Send an Invitation." However, this only allows one entry at a time, and we're expecting to add 10 or more people at once.

    Is there a way in Cvent to automatically send invitations to new members as they're added to the invitation list-ideally in batches?

    Hi Melissa,

    There isn't a way in Cvent to automatically send the invitation to newly added invitees. However, you don't have to add them one by one. You can import all the new invitees in bulk using an Excel sheet-there's no limit on the number of invitees you can import. Once the import is complete, you can manually send the invitation email to all the newly added invitees at once (not individually). When sending the email, make sure to select "Yes" for the option "Only include invitees who have not received this email in the last 6 months." This helps ensure only new invitees receive the invitation. It's a simple and efficient process.

    Hi Melissa - Although this may not help you right now, if you think you'll run into this need often in the future and/or at a large scale, you can use the REST API to automatically send the invitation email after individuals have been added to the invitation list. This does require some developer know-how and testing, but it's great when you get it going. I have hundred of invitees added to our events daily and doing the manual send took a decent amount of time. I was able to get some developer time allocated to updating to the REST API so we were able to start automating the invitation emails sends.

    But, as Amarnath mentioned, using the "Only include invitees who not received this email in the last 6 months" filter under Manual Send is the best way to quickly find those who need to be sent the email. That was what I used when I had to manually send invitation emails.

    Hi Christine, 

    The REST API sounds interesting. Like you mentioned, we probably don't have the time to implement that option now since the event is live, but this could possibly be something helpful for future events. In the meantime, we'll probably just manually send using the 'last 6 months' filter that you all suggested. 

    Could you share with me additional sources or documentation so I can read more about it? Could you also share with me how you began your process of implementing the REST API?

    Hi Melissa - definitely start with your account team! They can let you know what sort of integrations are included with your license. More information about API features is available here: https://developers.cvent.com/

    We had used the old SOAP API integration to load and invite contacts for almost 10 years, so we already something in place and it needed to be updated anyways as SOAP is being sunsetted soon. You definitely need someone with a developer background to be able to set up the integration.
