    Hope everyone had a great weekend! It's time to start Monday off with our Huddle of the Week post!

    Have you been wondering what is trending for planners? We took a close look at Cvent data and want to share what we see happening across meeting and event programs to help you refine your strategy. We started with benchmarking data across in-person, virtual, and hybrid events. Then we took a deep dive into event RFP momentum, event timing, event size, and marketing dynamics. Next we looked at how planners are adjusting programs in 2023. The data that we have collected has given us many insights into today's meeting and event programs and we want to share that with you.

    • What benchmarking data would be helpful and relevant for you? I like to see how lead times are changing. Based on our workload, we are now asking stakeholders to give us a minimum of 3 month lead time for any type of event.
    • How have you adjusted your meeting and event programs in 2023? We have started doing many more internal meetings, and have implemented a meeting request process to ensure we're all covered for workload balance.

    • What benchmarking data would be helpful and relevant for you? Would always love to see how far in advance should we plan on inviting and how have these numbers changed since everyone is rushing to in person and the amount of people we're competing with for attendance is changing
    • How have you adjusted your meeting and event programs in 2023? We haven't made much change, we are much more returning to in person then we have been since covid

    • What benchmarking data would be helpful and relevant for you? I like to see how early folks are sending invitations and reminders. We are finding that constituents are registering more at the last minute than they did in a pre-pandemic world, and it has significantly impacted our attendance projections and relationships with vendors who require a certain lead time for final numbers/reservations.
    • How have you adjusted your meeting and event programs in 2023? We have adjusted cancelation and registration deadlines to be closer to events, and are adjusting expectations of attendance. Events that used to bring in 500 people are now only bringing in 300 in-person.

    • What benchmarking data would be helpful and relevant for you?
      • I agree with Beth - would like to see lead times. We are struggling just to get 8 weeks out of our internal stakeholders. Sometimes, it's 4-6 weeks, which doesn't give appropriate time to build into any marketing strategies or even ensure enough invitations can go out. 
    • How have you adjusted your meeting and event programs in 2023?
      • We've started doing in-person events again, and finding mixed success.

    • What benchmarking data would be helpful and relevant for you? How lead times changes based on planners workload. 
    • How have you adjusted your meeting and event programs in 2023? Less virtual events. More internal events.

    • What benchmarking data would be helpful and relevant for you? Speed to sale data - this has dramatically changed in the past 3 years! 
    • How have you adjusted your meeting and event programs in 2023? Not too much has changed, 2020 was the big year of change and a lot isn't coming back. Like pens, pads and candies out on tables.

    • What benchmarking data would be helpful and relevant for you? Seeing how long attendees on webinars are on the webinar (and also how long their window was active).  Often, webinar attendees will login late or logout early, and they often have the webinar playing on a separate screen while they work on other items.  For some subjects, multi-tasking isn't the end of the world, but for others, it's much more important to fully focus (such as a required medical training).
    • How have you adjusted your meeting and event programs in 2023? We are still offering hybrid events, though we are putting less emphasis on marketing virtual components.  Virtual attendance is a great option for people unable to attend, but live events generally have a bigger impact on attendees.

      I would be interested in learning about the trends in marketing dynamics.

      My team has been minimized to less people and more responsibilities have been delegated amongst us.
