  • 1.  Can I charge a cancellation fee to attendees who have not paid using the refund policy?

    I have set up a refund policy that states if an attendee cancels prior to 09/04/2023 they will receive a refund minus a $50 cancel fee.  What I need to make sure of is that if they cancel after 09/04/2023 but have yet to pay us anything that we are tracking that they owe us a $50 cancellation fee so we can bill them.  What is the best way to add that?

    Hi Michelle,

    When you add the cancellation fee setting within fees, and note that their should be a fee of $50, this fee will live within the contact record after someone cancels. This $50 fee will live on their record regardless of how they paid. In my screenshot below, you can see I submitted a registration for $150 and selected an offline payment. I then cancelled my registration and am "refunded" only $100 and still owe the cancellation fee of $50.

    Thank you, so then I would just need to go through the canceled ones and remove the $100 refund if they have not paid in order to run a report that shows the $50, or is there a report to run just the fees?

    Hi Michelle,

    When you say that they have yet to pay anything, what payment option are they selecting during registration? Offline/other? Check? 

    In my example with the screenshot, I selected "No Payment," but technically a refund still has to generate in order to remove the $100 charge from their record. So you shouldn't need to go in and change anything after someone cancels, as long as the refund policy is already setup.
