    Hi! 

    I was wondering if there was a different way to build a guest. Maybe instead of selecting "guest", selecting a "group member"?

    Here is the issue we came across in our recent event: 

    When our agents registered and added a guest (mostly an associate of their company), a plethora of the registered guests were out of the loop due to not receiving emails that were sent through cvent. Is there a way to avoid this for future events?

    We want to ensure that every registered attendee (primary attendee and guests) receive all emails sent through cvent. Is there something different we should do when building the event?

    Hi Kayla,

    Thanks for your question - and you're definitely on the right track thinking about how to improve communication for all attendees.

    Based on what you've described, I would recommend using Group Registration and having each person - including those who would typically be added as guests - registered as a Group Member instead.

    This method ensures that every individual attendee has:

    • Their own registration record

    • A unique email address tied to their profile

    • Access to all event emails, reminders, and updates directly from Cvent

    This setup is especially helpful for teams or associates from the same organization, and it removes the risk of guests being left out of the loop.

    Hi, You can turn on for the guest to get the emails by going to Email, Recipient Settings, click on Registration Type and make sure the guest box is checked...
    And set up a Guest email for what you want them to receive. (Some data tags in emails are different from the primary registrant so if you copy the email, check the data tags)

    Hey Kayla! 

    Group Registration is a great solve for this.... UNLESS... you have hotel requests or flights involved. 

    Guest registration puts the guest in the same hotel room as the original guest in most instances (it can be setup not to) which makes it easy to export the rooming list and send it on to the hotel. Group registration however is too FULLY separate registrations. Yes, they are under a group heading but, when it comes to the "guest" it's much harder to compile that for hotel rooms, flights etc. 

    Just something to consider. We do a LOT of incentives so, we have had to stop using group registration because it's become much harder when we have flights and hotels.
