Integrating Sponsor Registration into the Core Event vs. Hosting a Separate Sponsor Registration Event

  • 1.  Integrating Sponsor Registration into the Core Event vs. Hosting a Separate Sponsor Registration Event

    Hello,

My organization is beginning the process of building out our refreshed Conference Registration for 2023. In 2022, we managed sponsor registrations and/or payments manually. This year, we're interested in integrating the sponsor registration process for our event, including the purchase of sponsorship packages in a single event.

That being said, the debate currently is - is it better to integrate the Sponsor Registration into our normal Member-based event by adding a Sponsor Registration Type and Admission Items relevant to the specific Sponsorship or host it as a separate registration link for Sponsors?

First, completely integrating it into our current registration for Members would result in a very complex construct of conditions applied to Admission Items/Session Items/Optional Items and so on. But a task I already have half built.

Second, hosting a separate event would allow more detailed instructions, private contact for sponsors and delivery of marketing materials, to be provided. As well as track our Sponsorship income separately rather than "mathing" it out from the core registration for post-mortem.

I'd appreciate some experienced Cvent users' input on this!

    Thank you

    Hi Robelle,

I have managed sponsorship and registration for a single conference in 2 separate events in Cvent for 10+ years.  I've found this to be easier to keep track of income and details, customize the registration process, and ensure my communications are directed to the correct group.  It's worked very well for me and I've focused my efforts on implementing additional technologies rather than trying to figure out how to compile both sponsorship and registration into one event.  Many times the person attending the conference is different than the one processing the sponsorship so having it separate is also easier from that perspective.

I would interested in hearing from others who have combined registration and sponsorship into a singular event to see how smooth the process is on the front and back end.  Without a strong argument for improved efficiency and ease of use for the person registering, I am inclined to keep managing in 2 separate events.

    Best,
