Opt-Out/Email Sent

    Hi!

    I have read a lot about the opt-out on many contacts and understand why that may have happened.  But I have some invitees showing a Email Status of "Email Sent" but an opt out on the email.  Why is it not showing "undeliverable "as the email status?  My invitees have no way of opting out of the email themselves unless their email server allows them to block the emails from coming through.  Any help on this would be great.

    Is it possible they opted out of the email on that send? So technically it WAS sent to them, but now theyre opted out post the send? My work email gives me the option to block/opt-out/junk a sender through the system without clicking anything in the email.

    It could also mean that the email has a slight typo, meaning it may have hit their server (delivered) but didn't actually go to the attendee and bounced back making them an opt out.

    Hi Michelle,

    Unless you are sending your email to employees, you MUST have an opt-out option so that they can either unsubscribe. It sounds like they unsubscribed from the email you sent them (telling you they are not interested in receiving more email from you). Unfortunately, the way Cvent handles unsubscribed vs bounces (bad email address, mail server is blocking your email as spam, email naming convention change, etc.) is not very clear. So, it is possible that they were not unsubscribed but hard bounces instead. You'll need to review them to determine whether it was a true unsubscribe vs a bounce... and then research WHY it bounced in case you can remedy the issue and re-send the email.

    Whenever we've encountered something like this, it's been because there was a typo and the person entered their email inaccurately.

    I concur with the other responses about typos in the email addresses. We get a lot of typos in the CC email address field. There are two ways you can tell what happened that caused an opt-out.

    1. From the Address Book open the person's contact profile, then scroll to the bottom of the page.
        - This means the email bounced back: Last Email Status is Undeliverable and Opted-Out By is Hard Bounce
        - This means they actually opted out by clicking Opt-Out in the email: Last Email Status is Sent and Opted-Out By is Contact Self Opt-Out
        - This means they actually opted out by clicking Opt-Out by reporting it to their email provider: Last Email Status is Sent and Opted-Out By is Abuse Complaint (for us, this always means that they forgot they put their personal email address in the CC email box)

    2. If the email address bounced back, you can tell which email address it was by going up to Contact History > Email History. That report should tell you which one had the issue. Sometimes it's also the admin who registered on their behalf. If they type their own email address incorrectly that will also cause it to switch to Opted-Out.

    Thanks Lauren this is super helpful.  I just looked up a guest who is showing this, Last email status is blank but hard bounce, ias that an invalid email?  Why does it not say undeliverable then?

    Yes, I would think that email was a no-go from the very beginning. I only have one in my address book (that I can tell) who is the same, and I know that person isn't an employee so the email address doesn't exist.

    Some emails will allow you to opt out or unsubscribe without opening the email.  I often won't open an email if I don't recognize the sender and will mark it as spam.

    As I understand it, there HAS to be a way to opt out in every email sent from Cvent. I even had a registrant opt out of future communications from the opt out link in the confirmation email (which, one would argue, they requested to receive by registering). That meant that any future emails we sent about the event with arrival information were not being delivered to him. I guess they don't add the "undeliverable" status because delivery wasn't even attempted? (It is odd that it would say "email sent" if not attempted though.) Unfortunately, if someone chose to opt out, I don't believe there is a way to change this.

    Yep, that's very annoying. I had delegates complaining not receiving pre-event emails, then I discover they opted-out during registration!
    When this happens, you need to go to Contacts, select the specific one and click on "Send Opt-In" email. The person will need to "authorize" the system again to receive e-mails.
    This is what happens when you have some countries with strict regulations on "data privacy" like in Europe. If you send an e-mail to someone who said NO, you will be in trouble.
