  • 1.  Table Registration - Best Practise

    Hi everyone

    Seeking advice from anyone who sells tables and individual tickets for events.

    We hold an event a few times a year where we have two ticket options:
    1.  Individual ticket @ $40 (ability to add guests at full price of $40pp)
    2.  Table of 8 @ $300 (registrant + 7 guests)
    ​Ideally, I would like to build the event so that those who are purchasing a table can add in their guests during the registration process. I'd like to capture all the guest information as you would any other guest to add to the total event count and gather relevant guest information at the same time. These guests need to be added in FOC.

    Currently I'm using admission items without the capability to add guests to the table of 8. I've since built events with registration types/pathways and also tried sessions but can't seem to make Cvent do exactly what I want it to. Am I missing something, or can this not be done? Would appreciate any help!

    I'm not sure, but it seems like it could be done with a single admission item using guest registration, where a person could register at $40 and add up to 7 additional guests.  By using a Volume Discount, the 7th guest's price would be 50% off.

    Hi Jade,

    Hope you are well.

    I have reviewed your query.

    This can be achieved using different registration types, 2 registration paths and creating different fee for each registration type. The following is the set up:

    You will have to create 4 registration types :

    Individual Attendee
    Individual Guest
    Attendee (Table of 8)
    Guest (Table of 8)

    Now, you will create 1 admission item and within this item, you will create three fees. 1st fee will be of $40.00 in which you will associate Individual Attendee and Individual guest registration types to the fees.

    Second fee will be of $300.00 and you will associate the Attendee (Table of 8) registration type to the fee.

    Third fee will be of $0.00 and you will associate the Guest (Table of 8) registration type.

    To create the fee, go to the event > Registration > Admission item > Click on the admission item's name > Click on 'Fees' tab > Edit > Create Fee > Give it a name > add the amount > Active : yes > Scroll down to 'Registration Types' > Associate the registration type to that fee > OK > Create other fees and then click on Save.

    Once this is done, you need to create two registration paths. One path will be for 'Individual Attendee' and 'Individual Guest' and second path will be for 'Attendee (Table of 8)' and 'Guest (Table of 8)'.

    On the default path, you can add the registration type widget and give the option of 'Individual Attendee' and 'Attendee (Table of 8)' as types available for the invitees to select basis which they will go to the respective path.

    Now, when you add the Guest registration widget on both the paths, within the individual attendee path, after you add the 'Add guest' widget, click on the widget and a panel will open on the right. here, you do not have to enter anything under maximum and minimum as, looking from your set up above, the individual invitee can add as many guests and they will be charged for each guest they add. 

    Under the Table of 8 path, when you add the Guest registration widget, click on the widget, on the right panel, enter 7 under minimum and maximum and publish the changes. This will make adding the guest required for the invitees of table of 8 path and the minimum and maximum they will be allowed to add is 7 guests.

    Then, please go to the site designer > click on the drop down at top left > on left panel, scroll down to 'Other Pages' > 'Guest Information' page > on this page, click on build on the right > drag and drop the Registration Type widget > On the right panel that opens up, scroll down and enable 'Limit available registration types' > scroll down further > click on Limit available registration types > Click on 'Select Registration Types'> select the guest type > Similarly, click on the drop down on top left > change the path and repeat the steps for the other path's guest page.
