    Happy Wednesday everyone! Let's kickstart with our next edition of the Tip of the Week discussion! 

    Do you need to be able to easily capture who is requesting an event, what departments are involved, event start and end dates, event size, estimated budget, location, proposed agenda, audio-visual and technology requirements, and more?

      The enhanced Meeting Request Form captures all meeting request information in a single branded, fully responsive form that offers greater functionality than ever offered in the legacy solution, some examples being: 

    • Building on a responsive website designer, i.e. the Flex site designer - One of the biggest changes with the New Meeting Request form is that it is built on a responsive website designer. You can easily drag and drop your Meeting Request Form fields, questions, text, images, and more onto the canvas to build out a customized and branded form for your organization. 
    • Allowing for pagination In addition to the enhanced site designer functionality for your forms, the new Meeting Request Form offers greater functionality than ever offered in the legacy solution, including allowing for pagination, up to five levels of sub-questions, and mobile responsiveness!

    • Up to five levels of sub-questions - Meeting request forms now have customizable online questionnaires with up to five levels of sub-questions that allow you to wave sayonara to the paper trail, better track all the related data, and ultimately improve efficiency

    • Mobile responsive – You can create a mobile-friendly site with the form designer, allowing your staff to request a meeting on any device.

      I've been working in the new MRF and using Link Logic. I LOVE IT!  I have been able to apply complex strategies and workflows using link logic AND the added number of sub-questions.
      Great enhancement, thank you!

      p.s. what I miss from Classic Resource Management and the ability to tie Resource Management requests to the MRF.

      • Have you used the new meeting request form? If yes, how did this new update benefit you?  
        • YES!!!! It ensures that we get ALL our questions answered with an event request, keeps it all together in one place, AND... it autopopulates into a draft event. We just then go into Cvent and "wordsmith" it a bit and use it as a starting point to build out the event in Cvent. 
      • Any tips you'd like to share to help other users use the feature/update more efficiently 
        • We have found that realistically, some of the information we need may not yet be known or available when our internal stakeholder requests the event, so we have learned which questions or fields should be required and which should not. We would rather they communicate AS EARLY AS POSSIBLE vs have all the details baked (and not give us enough time).

      We unfortunately do not take advantage of the meeting requests forms, we have to manage requests in one of our internal system tools since it was an add on

        • Yes we have been using it for a while, I love the logic and look of the website. We've had to change some of our custom questions to make the logic work for us even more.
      • Any tips you'd like to share to help other users use the feature/update more efficiently
        • I've always been frustrated with the housing block and meeting room requirements as all or nothing. I understand that they populate into the RFP, but that's really the only feature that we tend not to use for that reason. We have stakeholder enter in the prelim information, and then planners go in and go through the rest.

      I believe this was an add on feature so we did not take advantage of the meeting requests forms. Our event planner manages requests.

      Question for you: 

      • Have you used the new meeting request form? If yes, how did this new update benefit you?  Yes our team switched over to the new meeting request form a few months ago. I haven't seen a direct affect in my role but all the teams who it does directly affect seem to love it.
      • Any tips you'd like to share to help other users use the feature/update more efficiently: No tips really, I was excited to learn you can request supplies and have an inventoried amount to prevent too many people requesting one item during the same timeframe.

      I would love to learn this, too! That's how resource management worked in Classic, but the documentation says it's not available in Flex.
