Hi Cvent Community! We hope everyone is continuing to stay safe and healthy.

We are kicking off the second week of our "Tip of the Week" series here in the Open Forum! We want to ensure we are keeping up the shared learning and virtual engagement in every way possible during these unprecedented times. If you have any questions or feedback on past or new tips, don't hesitate to leave a response here.

We understand there are many changes surrounding your events, and you may be moving into a virtual environment or choosing to postpone your event until a later date. Whichever direction you choose, this is likely to cause changes to your event agenda. This may seem like a daunting task, but we would like to provide you with some helpful best practices to modify your Sessions in your Cvent event in a seamless way.
    •  If you have a small number of Sessions, but enough that manually updating each would be too time-consuming, you can utilize the Bulk Edit functionality.
      • Within your event, navigate to Event Details > Sessions > Select the Sessions you wish to edit > Hover over Actions and select Edit.
      • This will bring you to a new page where you can select up to 8 fields to update and can do so in one bulk view.
      • Once you have made your changes, you simply click Save on the page. This is an ideal process for simple changes such as Session Start Date or Session Location

    • If you have many Sessions, or maybe just work better using an Excel File, you can modify your Sessions through a Session Import.
      • The first, and most important step, is to export your existing Sessions by navigating to Event Details > Sessions > Select necessary Sessions > Hover over Actions and select Export.
      • This will download a txt. file which you can copy and paste into a new Excel worksheet. This step is crucial because when you export your Sessions, it includes a column for the Session ID, which is the Session's unique identifier. You can then make any required changes in the Excel file, whether that is as simple as the date and time, or as complex as custom fields, descriptions, and speaker details.
      • As long as you include the Session ID field in your import, Cvent will match the ID and update the existing Session rather than creating a brand new one.
Have you made agenda changes in your event using these steps before? If so, what was surprising to you? Did you learn anything that would be helpful to know next time you did it?

If you have any additional tips to share, or have found this helpful, be sure to leave a reply below or click "Recommend." We hope this will help ease the process of your event updates, even by just a bit! Let us know if you have any questions!
