  • 1.  Changing contact information

    I have two issues. One, the person has a status of Opt-Out. I change it and it keeps going back to Opt-Out. Could it be security on her end? I know she's not changing it because I was on the phone with her as we did this and she didn't receive anything. Two, I'm trying to change a person's email address. It was missing the . in the name. I get an error telling me there are duplicate entries for this email address. When I search, this is the only one that comes up.

    this happens with us as well very frustrating on the opt out. Typically means bad email address. I usually go to my contacts search for this person, discover they have multiple contacts, need to merge them into one contact selecting the correct email address and then insure the contact is opted in. Hope this resolves your issue as well.

    Thanks, but I can't figure out how to merge contacts. There are two in there but they both have the incorrect email address. When I try to create a new one with the correct email address, it tells me I have duplicate records. So frustrating and the chat for CVent isn't working. URGH!

    Hi Kathleen-

    When this automatically happens it is because Cvent received a "hard-bounce" for that email address. This could be that the email is incorrectly entered or the email address is "refusing" emails like when a corporation deactivates a former employees email. With that said, if the email box is full this will be a soft bounce and will not automatically opt-out the registrant. 

    I would suggest checking the email address to make sure that this was entered correctly. I cannot tell you how many times I have had registrants tell me they entered it correctly and when I copy the email address from an email they've sent me and paste it in to do a comparison, there is always something that I find wrong with the original entry. 

    If copying/pasting the email address from an email you received from the registrant doesn't fix it, then I suggest contacting Cvent to see if they can "see" from their reports why the registrant keeps getting automatically opted out.

    The email address is incorrect. That's the problem. But, when I try to change it, it tells me I have duplicate records. From what I can see, we don't. I tried searching with the email address to see if it was associated to another name but it doesn't pull anything up. So, when I search by last name, this is the only record that appears.

    I would check your contact side of the system by searching for the email address. You may need to merge the two records at the contact level to fix the issue.

    First on the finding:
    It may be obvious but to say but you didn't clarify where you're making these attempts.
    You should be doing this in address book and not an event attendee list.
    Make sure you remove any leading or tail spaces when you do your searches. CVENT search doesn't remove them "automagically".
    Other tricks I use involve using an Advanced Search using the Email Domain Name and use an operator like "contains" "includes" or "starts with" against clips of unique aspects. provided your subject isn't a Gmail like public address, or the only domain you manage. You can use the same trick using Email and contains / start with "FIRST PART OF THEIR EMAIL". EXAMPLE, if we looking for MR.TEST@cantfind.com, either use EMAIL contains MR.TEST alternatively Email Domain contains cantfind. You'll get a list of contacts that match and that may come up with your missing contact. including ones that may only be partial matches.

    You can find help article on merging, but essentially you find the contacts in one of your searches and select multiples of them in your addressbook.  Under Action select merge, and the system will give you some choices where they conflict. NOTE: if they are registered for any attendee lists you have showing, the update will likely effect that registration entry and registration (depending on your settings).

    It definitely sounds like the contact is bouncing, so its a prime address, but don't forget that people often duplicate into the CC email field (if you use it). If its there, it won't bounce but the person being copied will opt out the primary contact.

    I agree with the respondent that suggested you tackle this in the Contacts app.  We group contacts for various reasons.  I have to make sure I'm searching in All Contacts not in one of my groups.   I will sometimes search by less and less information.  csandstrom@cjpia.org may be searched for by full domain or cjpia or sand or strom.  Searching by first name is also supported. All contacts with any of these in their record will appear.  I then merge the selected records.

    Regarding #2 - If I get the message that I already have a contact with that email address I just substitute that person (it's the same person but with the correct email address) for the original registrant with the incorrect email address. I don't know if will help you but I find it is the easiest way to manage the problem. ​
