  • 1.  Awards Luncheon

    We are looking to revamp our awards luncheon. We currently have the awards presentation lasting around 25 minutes. We are seeing that attendees are disengaging due to the length of the presentation. I was wondering how long others are seeing their attendees engaged in an awards presentation so we can best determine how we can change our current format to better suit our attendees.

    I wish we had our awards down to 25 minutes. Ours seems to go one for days.

    Our event is 5-7 days long. We started handing out awards over the course of the week which cut down the overall length of our final dinner.
    To speed things up, we place the awards in the back of the room so no more coming up onto the stage/riser for a handshake and photo.
    We have a script so those in the back handing out the awards can be ready.

    We have an awards banquet that typically last 1-1/2 hours.  There have been several people who ate the free meal, then rudely walked out during the presentations.  A few years ago we starting holding the dessert "hostage", having a dessert reception in the hallway after the awards banquet is over.  It worked!  People love their dessert!

    Our awards sessions are long as well, but we started handing out awards in groups instead of individually. We did group photos on stage instead of individuals, but allowed time after the awards ceremony for recipients to take individual photos with our leaders if they wished. We also decided to do family style deserts on the tables during lunch, so people would not leave the room during the presentations.

    During our awards reception, we show fun or funny pictures of the award recipient on the screen when they walk on stage- it makes everyone laugh and pay attention!  A script helps speed things along and we cut out any comments.

    We installed a step and repeat outside of the general session room where we announce the awards. This takes the process of photographs off stage, out of the room. People love it bc they get a chance to catch their breath, fix their appearance, before official photos. Additionally, you can get the background of the step and repeat sponsored. 

    A script is an absolute best practice.
