  • 1.  How to prevent participants from checking in to multiple concurrent sessions

    Posted 07-15-2019 11:42

We have a 4 day event with over 50 sessions. We do not charge by the session, but by the number of days attended: 1 day, 2 days, or full conference (we do not have a 3 day option).

Here is how I have registration set up:

Admission items are 1 day, 2 days or full conference
Each day's sessions are grouped into tracks (Sunday track, Monday track, Tuesday track, Wednesday track).

When the person registers, if they select "full conference", they are registered for all sessions. If they select 1 or 2 days they are prompted to select the day (the track) they are attending, then are registered into the corresponding sessions. This prevents anyone from attending sessions on days they are not registered for.

We do not want to require people to select the sessions they want to attend in advance, but this has caused a problem with session check ins.
Here's the issue I am having: let's say someone checks into Session A at 1 pm on Sunday, then leaves that session and goes to Session B which is in the same time slot. They are able to be checked into that session also and are marked as attending both sessions (and get credit hours for both sessions). Is there a way to automatically override their first check in? So in this scenario, when they leave Session A and go to Session B, they will only get credit for Session B.

    Hi Susan,

To prevent attendees from attending/registering for two sessions that are offered at the same time, you can use a setting to prevent that. Even if attendees are selecting their sessions once they arrive at the event, this should still help you.

In the Site Designer, select the sessions widget and scroll down to the toggle setting that says "allow registrants to select sessions that overlap" and turn that setting off.

Because we have the sessions assigned to tracks, when they register, they are automatically registered for all the sessions scheduled on the day (or track) they selected. So we have to allow them to register for sessions that overlap. We do not want to require them to select sessions they want to attend through the system at all.

The only work around I can think of is using session groups and not requiring them to register for sessions. Then when they are checked in to a session, they are automatically unregistered for all other sessions and can't be checked into other sessions. But then there's no way to prevent someone from attending a session on a day they did not pay for.
