    Hello, Community members! We have some exciting news to share – on August 17 we will be hosting our next Ask the Expert session here in the Open Forum! We will have 3 fantastic experts from Cvent's own Meetings & Events team here to answer all your questions on what went into the planning of Cvent CONNECT 2021 and how to execute a hybrid event through Cvent technology.     I'm curious about the number of av support staff and event staff are on-site to execute such a large hybrid event with so many things going on at the same time. Or what's the ratio of support staff to attendees in person and/or virtual?

    Hi Lori - You are so right, executing this event definitely took an army with many moving pieces. 

    In person/onsite, we had about 40 core support staff - covering event logistics, marketing/communications, creative, content management, AV/tech support, registration & information desks, etc. Many of us were multi/quadruple-tasking onsite :) 

    Virtually, we had 100+ Cvent employees globally supporting the virtual elements - meeting with attendees in our Cvent virtual booths, manning the virtual booth chat, moderating sessions, etc.

    When you are executing a hybrid event and your event budget is too small for advanced production, what are some inexpensive ways to livestream session content to Virtual attendees?

    I have thought about having the speaker logged into Cvent Video Player Live with a webcam on him/her, and sharing the presentation both on the screen in the room and via Cvent Video Player - Live? How would the speaker's audio content be shared with both audiences - wireless lavalier with the onsite attendees, but what about the virtual ones?

    What is the most mistake-proof way to share live onsite content with Virtual attendees for breakout sessions?

    Hi Brenda,

    This is a great question! I connected with some of our Attendee Hub product experts for this information. 

    They shared that your suggestion would work here. You'd need to make sure the audio is connected to the meeting and also to the audience in the room. As long as people can join the meeting in Attendee Hub and the people in the room are watching, you could then share your screen. Regarding the audio, we would encourage you to talk to your A/V provider about how they can split the audio signal and feed it to this CVP session. Your A/V provider should be familiar on how to stream your own audio and video signal into Zoom or BC, depending on provided equipment.

      • Customers can only use Studio with Attendee Hub
      • Studio will only live stream to the Cvent Video Player, or you can use it to pre-record sessions ahead of time and upload them to your Cvent sessions.

    The materials indicate this can be used with any live streaming solution that can connect through an RTMP feed "Stream to any platform that supports RTMP" which contradicts your response above. Can you please re-clarfiy?

    Hi Gaby,

    Apologies for any confusion! The above response is how Studio is designed, however if you wanted to set up to stream to a collaborative meeting in another solution, you could as long as that collaborative meeting supports RTMP output.

    Hi Danni, 

    Thanks for the clarification. I think I'm still a bit confused, as my question was less about the output, and which video platform attendees are logged in to watch the session, and more about what/how our sessions are set up on the presenter/backend side: do staff and presenter have to join a zoom meeting? And as a corollary: do we need to pay the extra fee to use the integrated zoom license in order to take advantage of Studio?

    Hey There, Bryce and Steven! I would love to answer this one - Outside of leveraging Chat and Q&A (which are GREAT ways to engage) These are my go-to best practices when engaging a hybrid audience during presentations:
      • Keep things interesting by introducing a change in media format throughout the presentation:
        • Strategically place videos or other media, comedic content, or entertainment in your Run of Shows that allow for a "break" from core content and a change up in visuals. This applies to both audiences. We have the best practice to switch formats up every 7 minutes if possible.
      • Challenge yourself to think creatively on other unique ways you can share the story, piece of content, message/announcement, or presentation outside of the standard PPT or talking head.
        • Ex: we chose to reimagine our standard internal employee award announcements that are typically presented by our executives and instead turned the announcements into animations where the executives themselves were cartoons. We placed these strategically in lull points of our ROS and it was the perfect solution to re-focus attendees and keep them engaged, as they new more awards would be coming and were excited to see what executive would be a cartoon next. These all could have been simple videos of our executives at home making these announcements, but taking it and reimagining this way really elevated the content and overall event experience.
      • Lean into "content layering" if your virtual event is leveraging a web-based livestream
        1. Cvent Studio, and other web-based studios typically have a feature that allow you to put a PNG file or lower third over a live video. Let's say your speaker has an upcoming agenda, a big statistic they want to get across, or three main takeaways. Rather than putting those on a slide, see what content you can pull out of the PPT and re-locate in a form of a media layer. Re-purpose the lower third feature that is typically reserved for titles and use it for other messaging. This can be flashed on the screen along with the speaker, which really brings it to the audience attention.

    Hi Sarah,

    As with any type of event, in-person, virtual and hybrid there are always unforeseen or unexpected challenges! The best way to handle these is to really ensure you have thorough contingency plans in place to support those "what if" moments, but also as those challenges arise, ask yourself is there a way to make this not only a solution or quick fix but also, a value add?  I've included few anecdotal examples below.
    • Part of our abstract submission process included a question where we asked if the prospective speakers would prefer to present remotely or join us onsite. We had a number of speakers who submitted abstracts with the intention to join us onsite, however with travel policies still being revisited and re-evaluated, some weren't able to join onsite. So we had to resource team members to produce those sessions. As you can imagine, it's not a matter of show up and record, there were a series of meetings with speakers and producers to develop run of shows
    • The Clark County mask mandate certainly impacted our onsite experience. We revisited signage plans, room sets and set new expectations for our evening event experiences. The key here is to be agile, level set with your stakeholders and partners from the beginning - it's okay if things change.
    • And finally a fun one! We had a change in content strategy  later in the game than we would have liked however it ended up evolving into a cool idea. We had content that was meant to be exclusively for the virtual audience and then upon further reflection was asked to be made available for onsite attendees. Boom! the "virtual viewing room" came to be! We were able to make those sessions available for a subset of our onsite audience and when there weren't sessions taking place, the room was streaming the 2021 Tokyo Olympics for our attendees to enjoy between sessions.

    As a Cvent Administrator, we sometimes want to lock down certain features and have planners request that they be turned on like OnArrival.  That way we can track usage and make sure we don't go over our contract allotment.  With the new Cvent Experience will you still have the ability to lock down certain features on an account level?

    For the virtual attendees, we experienced a lot of buffering during the session on negotiating with venues on the 2nd. I didn't realize it was so widespread until I saw the Q&A and chat. It appeared that the issue was acknowledged in the Q&A only - in a situation like that. what's the best way to let all viewers know there is a tech issue that is being addressed?

    Hi Gina, 

    In our risk management planning for livestream sessions we planned for two main scenarios:

    1. Experience a technical issue, but still having the ability to go live to the viewer (can transition to a video, ppt, etc.)
    2. Experience a technical issue that causes the livestream to go offline or buffer 

    The first scenario allowed us the opportunity to proactively create assets that we could have the production crew transition to should we still be able to reach the viewer in the livestream. For example, we created a short video with our Conference MC Mark Jeffries that communicated to our attendees that there is an issue we are actively working through, provided next steps, and directed the viewer to alternative areas within the attendee hub. This concept can be simply reduced to a ppt slide as well.

    The second scenario is what you unfortunately experienced in the session mentioned. In this Scenario, you no longer have the ability to reach the viewer in the livestream, so we felt that the in-session Chat was a fantastic tool to provide real-time updates and communication from our Cvent Staff instead of emails or push notifications. The Meeting and Events team took away some key learnings of the power of chat in a session and have shared it with our product teams. Things like the ability to display an announcement, just like displaying question would be a perfect use case. We can't wait to see the future of this tool and what other functionalities it may have!

    I'm really curious as to how you can engage virtual attendees better. CventConnect is doing a great job...but what about attendees in different time zones (US vs Asia).  Watch parties were mentioned...but with Covid-19 that is not always possible.  How can event planners find ways to keep the engagement to encourage international participation at a week long conference without virtual burnout.

    Hey Lesley! We have faced similar challenges when hosting a few global internal events this year. Different time zones are always a challenge. Here are a couple of ways we approached our global audience for a few virtual events in 2021, and a bit more context of our version of "watch parties" within the Attendee Hub!

    1. First, we identify which time zone and audiences we expect to attend within the live event time and make sure to communicate that clearly by adding in the time zones we would expect to join in the title or session description. We typically say 8:00 am should be the earliest a time zone should join an event and 6:00 PM be the latest unless it is an evening event.
    2. Next, we identify who is "affected" by the event start time and find ways to accommodate these subgroups. We found that folks really appreciate it when the extra steps are taken to make their particular viewing experiences better. There are three groups "affected": the early risers, the evening joiners, and the audience in time zones/regions that are completely outside of the event start time.
    3. Then, we form what accommodations we can based on subgroup sizes and event budget.
      1. For early risers and evening joiners during your event time: sending additional communications acknowledging the early/late time for them with is a great way to make them feel thought of, and even BETTER if that email can have a small offering associated to the time they would be joining the event. For example, say thanks to the early risers by providing a Starbucks gift card for coffee that morning or an Uber Eats voucher code for breakfast on you. 
      2. For audiences that are outside of the event time zones we highly recommend creating a separate watch party by region. By this I do not mean in-person watch party, but leveraging the Attendee Hub to make a completely separate, dedicated session for that region and inviting them to that specific session. For example, let's say you have a US based event with a session titled "Welcome and CEO keynote", and you expect 200 attendees from Australia who wish to watch but cannot attend the event time. You could making an additional session "welcome and CEO Keynote - Australia Watch Party" (private to only those attendees, not to public). When the original session concludes you can simply upload that same recording OR If you plan enough in advance you could bookend the original recording with regionally specific content to give it that extra touch, such as a dedicated CEO welcome recording to that Australia region or specific action items at the end for the group. If you can get you original speakers to join into the watch party chat as well, even better!

    Loved the announcement around Cvent Studio yesterday! Will this be available only for the built-in zoom license in the Attendee Hub or could we use our Webex license? Will it be available for collaborative sessions or only live, simulive, and on-demand?

    Hi Krysten! You absolutely can still note your event as hybrid when creating it in Cvent, even when not using Attendee Hub. By selecting this, you'll have both in-person and virtual capabilities for your event, such as capacities, registration types, travel, etc. Here is a great article that goes into more detail.

    For the virtual attendees, we experienced a lot of buffering during the "LIVE" sessions. First is there any best practices that can be provided to troubleshoot it on the virtual attendees side and what is the best way to inform the planning team of the issue so that they are aware and can also be working on a resolution?

    I am interested in understanding how you set up the Attendee Hub visibility and what differed for Digital Attendees versus Live.  How did you decide these settings when building your registration site.  As an in person attendee, I did not see the digital attendee view point, can you elaborate on some of the major differences between the two types of attendees?

    Hi Anne - Great question! We segmented the registration experience for virtual vs. in-person audience using "Registration Types" and by creating separate registration paths that gave us the ability to customize & tailor the experience for both audiences. Logic that is configured on the backend, translates to other relevant places like Attendee Hub.

    For example, if a session was in-person only, it was only made available for the In-Person registration type, so it was only accessible to anyone tagged as that type. Similarly, we tailored the registration forms to only show questions relevant to the specific audience type using "Registration Paths". In most of the places, an objects (be it session, admission item, registration question or custom page in Attendee Hub), we had the ability to control its visibility using registration types.

    Hi Colleen (@Amy Zientek I think you had a similar question) - Here are the factors I would say are important to venue selection for a Hybrid event.  

    • IT/Networking - Making sure the venue can meet organization's requirements based on the scope of AV/production programming
    • Meeting Space Capacity - With restrictions/mandates changing frequently, making sure the venue can accommodate different configurations to meet your programming needs and ensure appropriate spacing 
    • Staffing - Making sure the venue have enough staff to successfully execute your program
    • Health & Safety - Ensuring the venue is proactive in taking all precautions into account and practicing local guidelines as they update
