Association & Non-Profit Q3 Networking Meetup Recap

Earlier this month Cvent hosted two Virtual Networking Meetups! With one centered around associations, and the other focused on non-profits.  In this blog post are the common themes/topics discussed in each of the meetups. You may notice some overlap between the two groups along with some new topics as well!

Non-Profit Meetup

Common themes that were discussed in the non-profit meetup revolved around user training, integrating Cvent with other software, knowledge sharing, limited usage or new users, event management tips and tools, and the use of onsite check-in and the use of the Cvent Event App.

  1. User Training and Administration: Several organizations mentioned the importance of providing proper training to staff members using Cvent to avoid chaos caused by users with administrator permissions. They highlighted the need to educate users on best practices and ensure that only authorized individuals have administrative access.
  2. Integration with Other Software: Many organizations expressed the desire to integrate Cvent with other software platforms they use, such as NetForum, Salesforce, and Zapier. They emphasized the importance of seamless data flow between different systems to streamline processes and improve efficiency.

  3. Learning from Others: Some participants mentioned their interest in learning from other non-profit Cvent users and hearing about their approaches and strategies. They recognized the value of sharing experiences and gaining insights from peers to optimize their own event management practices. A few organizations also mentioned having a limited scope of usage for Cvent, either using it for a small number of major conferences or being new users altogether. They expressed their openness to listening and learning from others to enhance their understanding and utilization of the platform.
  4. Event Management Tips and Tools: Some participants were interested in tips, tricks, and tools related to event management. They highlighted the importance of discovering new features and functionalities within Cvent that can enhance their event planning, registration, and attendee management processes.
  5. Onsite Check-In and Attendee Hub Event App Usage: One organization specifically mentioned the use of both onsite check-in and the app for event management. This highlights the importance of having a seamless and integrated experience for both event organizers and attendees.

Association Meetup

During the association meetup, the discussions highlighted:

  1. Audience Segmentation: The feature of audience segments in Cvent was highly appreciated by many of the event planners in attendance! This feature allows planners to divide their attendees into different groups or segments based on criteria such as registration type, demographics, or interests. One planner mentioned how audience segmentation has been particularly useful for their events with multiple registration paths. It helps them target their communication and tailor the event experience to different attendee groups, enhancing personalization and engagement.

  2. Event Planning and Activities: Several planners shared examples of how they demonstrate a diverse range of activities and experiences that can be incorporated into events to create memorable and engaging experiences for attendees. One planner mentioned a leadership summit where education and networking were the main focus areas. However, they also highlight additional activities for this event that are aimed at encourage engagement and networking, such as live bands, s'mores making, city-specific activities, and nature walks. ­

  3. Training and Onboarding: The need for training options for large teams and new hires was mentioned by some participants. They discussed using Cvent user trainings and certifications to onboard new staff members and familiarize them with the platform. This highlights the importance of training and continuous learning to ensure that all users are equipped with the necessary skills and knowledge to effectively utilize Cvent.
    • This appears to be a top priority across both the non- profit and association industries! The Cvent Academy and Product Learning Centers within the Cvent Community will help planners onboard and train their new users.  
  4. Gamification and Surveys: The use of gamification to drive engagement with sponsors and incentivize the completion of session surveys was mentioned during the meet up. Participants shared strategies for increasing survey completion rates, such as including top questions at the beginning of the survey and offering prizes for participation. This indicates that users are actively exploring ways to make surveys more engaging. Additionally, participants shared their experience with survey response rates. Organizations are focused on measuring attendee feedback and continuously improving their events based on survey results.

Both the Non-Profit Meetup and the Association Meetups highlighted the importance of user training and administration, knowledge sharing and learning from others, event management tips and tools, and providing a seamless and integrated experience for event organizers and attendees. These shared priorities help demonstrate the value these organizations place on leveraging Cvent technology to optimize their event management practices.
