  • 1.  Embedded Links in Custom Contact Consent Fields

    Posted 08-03-2023 19:08

    Hi All -

Just wanted to pick at some expert minds.  Does anyone know if you can create a custom contact consent field that includes an embedded link?  Example would be to link to a company's terms and conditions?

    Thanks for any insights!

    Hi Rebecca,

Yes, there are ways you can include a link, depending on what type of field you add. Here are some articles from the Knowledge Base that might be helpful:

    Hope this helps!

Thanks Lori!  I've reviewed these articles and still could not find an answer to my questions and that's why I posted in this forum.

More specifically, I was trying to find out if anyone knew if you could add links into a Custom Consent Field.  It would be a check box that would say, "I reviewed and consent to the Company's Privacy Policy, etc." and a link to the Privacy Policy would be embedded within the Consent verbiage.

On other tools, we are able to link to another document from a consent field - just trying to confirm whether it was possible to do with Cvent.

Thanks again for the additional resources.

Hi! It looks like Rebecca Wildman gave a very in-depth and detailed answer on where to find the info you needed! If you need additional help, please feel free to reach out and I can help the best I can while I am also learning Cvent.

Is there a reason you don't want to add this in the Terms & Conditions in Cvent? That seems to me like the easiest way to ensure that people have actually reviewed the text in the process of registering.  It's really easy to just cut and paste text in.

    Hi Elena -

Yes, because if I can capture it in a Custom Event Consent field, we can report on exactly what verbiage they consented to and it will also retain in their contact record.  If we just capture "I consent", there can be confusion on what they were consenting to.

    Thanks,

If I want to embed links in items, the first step would be to save the document or media to the library. From there you can grab the link and use it in your documentation to sign off on.

The libraries are located in the Admin section that you can select from the app switcher.

The risk is you will have to maintain the document and if it is updated you do not know what version your attendees consented to. That is the benefit of using the consent questions.

    Hi Rebecca,

Have you thought about setting your company's terms and conditions as a registration question that includes the link to the company's terms and conditions of which those registering for your event would have to agree to or not by way of response to that question? This way, when running a report on responses to registration questions, you would know who has or has not agreed to the terms and conditions as per that question.  We do it this way for a lot of our meetings when we aren't using Cvent's Terms & Conditions.

    Hi Debra -

Thanks for the suggestion.  While that would work to collect that information on an event by event basis, we are looking for long term, cross event reporting.  That's why we need the specific terms outlined as a Custom Consent Field, so that it will not only get captured on an event basis, but will also be retained in each Contact's contact record.  When different integrations are used and when data is fed to other downstream tools, it's important that information can be collected, time stamped, and reported on, particularly where Consent and other privacy-related data items are collected.
