    Happy Wednesday everyone! Let's kickstart with our next edition of the Tip of the Week discussion! Whether you've just been thrown into planning or have been planning events your entire life, you can always count on unexpected challenges. Below are a few event planning tips to help you plan your next event. 

    Before the Event 

    Start Early 

    Start planning your event as early as possible to give yourself the best chance for success. 

    Set Clear Goals 

    Setting goals about what you hope to achieve with this event is key, whether it's an increase in attendees, increased attendee engagement, higher revenue, or higher ratings for speakers.  

    Understand the Purpose of the Event 

    You know whether you're planning a conference, gala, or happy hour – but what must this event achieve? What is the theme? What should attendees gain? 

    Identify Resources 

    By establishing the team early on, you'll have enough budget to work with and won't create unrealistic expectations. 

    Promote Your Event 

    Take the time to develop a comprehensive event promotion plan.  

    During the Event 

    Always Have Coffee 

    If you're planning a conference, workshop, talk, or anything that has a number of speakers on the agenda, make sure to keep the coffee flowing. 

    Adapt Speaker and Agenda Content 

    At some events, you have the ability to adapt based on attendee response. If you're using a mobile event app during your event and getting speaker ratings, you can easily see who is and isn't going over well with attendees.  

    Be Ready for Anything 

    While unnecessary to reiterate, things happen that you could have no way of predicting. Keep your staff office stocked with sewing needles, a first aid kit, and whatever else might be helpful.   

    After the Event 

    Do Something with Your Data 

    You'll collect an enormous amount of data throughout your event – in your mobile event app, at your onsite check-in kiosk, during registration, in surveys, and more! If you don't already have a plan for how you'll use that data to prove whether the event meets its goals, get planning. 

    Review Goals and Update Stakeholders 

    You need to prove event success. Your stakeholders will be more impressed if you can speak their language and give concrete results. 

    Tips for Staying Organized While Planning 

    Planners have to be organized – that's non-negotiable. There are vendors to juggle, payments to make, and stakeholders to answer to.  

    So, how do you get on track and stay organized throughout the planning process? Here are a few tricks and tools to help: 

    • Use a Single Event Management Platform 

    • Put Everything in Your Calendar and Block off Time to Work 

    • Take All Your Notes in One Place 

    • Organize Your Files Structure 

    • Set Reminders to Check In on and Start Projects 

    • Take Stock at the Beginning of Each Week 

    • Wrap Up Projects When They End

    Yes I do! I have multiple coming up in the next few months.

    Be prepared early and double check your work. Having someone else look over it for mistakes can be beneficial as well. Communication between all the moving parts is also key to success.

    • Do you have any upcoming events?  Yes - 4,000(ish) person conference and tradeshow in October
    • Share your tip for hosting a successful event   Know your audience.  When planning shareholder events at a previous job, we had two types of events that had their own preferences.  F&B offered at one would not go over well on one of the groups, but was a hit for the other.

    • Do you have any upcoming events? Yes, we have a Labor Day event and a regular meeting in December.
    • Share your tip for hosting a successful event  - I agree with the "always have coffee" recommendation, in fact we've found that a midafternoon snack and coffee break during our events can help people going through a long program day.

    • Do you have any upcoming events? Yes we have our biggest event of the year 4 weeks from today
    • Share your tip for hosting a successful event  Be organized, host a few meetings in the weeks leading into your event with staff who will be onsite to make sure everyone, even those not usually on the project but helping out, are familiar with everything they need to know and understand what they days will be about. While I prefer digital, I always find having a print out of everything i need, ready to grab or hand off to someone to update them on something they need to be helpful.

    • Share your tip for hosting a successful event: Communicate all important details with attendees before arrival (parking, attire, specific timing), provide plenty of time for breaks, always have a back-up plan, staff appropriately and be prepared to respond quickly

    Do you have any upcoming events?

    Yes. Football tailgates, Alumni, and Reunion season is "kicking off".  A few student engagement events and some last-minute golf outings.

    Before the Event Tip:

    If using OnArrival or Event in a Box set up and test equipment at the venue a day early if possible. Make sure WiFi or cellular connectivity is working as expected because you do not want to be scrambling, setting up, and configuring equipment when your attendees are arriving.

    We have many upcoming events - ranging from weekly 3 person trainings to 3000 person meetings in the next few months.

    Provide as much relevant information in advance as possible, build a thoughtful website that won't overwhelm your attendees.  Think through your meeting and ask appropriate registration questions.

      • Yes, a small lecture series and a conference (invite only)
    • Share your tip for hosting a successful event 
      • Planning is the biggest thing for me. Both my events this year are rushed and I'm feeling it.  
      • Partnership - you have to work as a team. This is crucial to planning and execution
      • Budgeting - with the unknowns now I find a good budget that is adaptable is KEY to success
      • Empathy and Grace - The longer I'm in this business the more I find that things go wrong and there is NO perfectly flawless event.  It's being empathetic to the issues, and handling them with grace that makes them a success

    • Do you have any upcoming events? Yes, we have handful of in person internal events coming up.
    • Share your tip for hosting a successful event: Be Prepared early. People are still excited to be back in person, they will show up early, stay later just to talk with people in person.  Using Cvent to capture badge information, dietary etc. Having all of that prepared and ready to go hours before start time is something that's easy to do and allows you to relax a bit on event day.
