    Job Title: Senior Event Planner

    Event Description: one-day academic conference

    Event Dates: March 9, 2024

    Phase of Event Planning: Pre + During Event

    Type of Event: academic conference with 6 parallel tracks, 1 keynote, 89 speakers total

    What Worked for You:

    • We did not have the full program by the time registration opened, so we leveraged the Attendee Hub as a way to consult the program and read the papers ahead of time. Especially useful to direct the discussants to, as they needed access to the newest version of the paper. 
    • I made a special registration path for speakers that required them to upload a bio and picture, allowing me to populate the Hub and App without having to chase the info down later on.

    What to Avoid: 

    • Think everybody will download the app and underprint paper programs... Turns out while 80% of registrants did log in the Attendee Hub ahead of the event, only 25% of them downloaded the app and used it onsite. 
    • Think speakers will be good and actually send their presentations ahead of time! We ended up not uploading the slides to the Attendee Hub, only the papers, because we did not have all the slides/too many speakers were requesting a newer version be uplaoded to the Hub. (We don't have the Speaker Resource Center add-on.)
