  • 1.  QR codes used for registrant check-in

    Posted 01-08-2024 02:01

    Hello,

I need to generate badges for an event of 3,500 attendees that have QR codes on them to be used for registrant check-in. I am having trouble exporting that many badges from cvent to be printed and I can't find a way to add QR codes to any report so I can create my badges outside of cvent.

Is there a way to generate QR codes from the registration confirmation number that can be placed on a badge and used with on arrival scanners?

Thank you for any ideas and suggestions!

Yes, that was a nice surprise for me too when I tried to export 1,200 for arrival packet labels last week and it didn't work.

I used a mail merge in Word to create my labels. There's a special code you can use in Word that will generate a QR code based on the Confirmation Number column in Excel.

    Hi Martina -

We do this all the time - printing and mailing our badges prior to our event. We create the QR Code in Cvent based on their confirmation number. You can do this by going to OnArrival>Barcodes and Passes and then click on the Barcodes & QR Codes tab for this section. Click on 'Create QR Code' and name it what you like... and then move the fields over that you want associated with the Bar Code. We make the Data Type = 'Text'. Then over on the badge ... Attendees > Badges and Certificates, we create a badge and then in the Designer, we pull over the QR Code component. And that is it for creating the badges.

To print the badges, we go to the Attendee List and then check the check box to select ALL attendees, and then click on Bulk Actions and then Print Badges. We have 2,986 attendees, so we break them down by Registration Type so that it's not the full count of nearly 3,000... and that way it will print successfully. This works for us... If I  go over to My Exports the pdf is there with each badge printed with the QR Codes that we can then print from a printer.

Hope that helps. - Leigh Anna
