    Tighter budgets with rate increases and attrition concerns are increasing the challenges with room block management. We have seen planners have great success and overcome these obstacles.     Some of our biggest challenges have been contracts with very early rooming list submission dates. We're seeing a lot of last minute cancellations or changes in plans to send another person so the ability to allow for name substitutions or dropping rooms is huge. A lot of our clients are planning their events with shorter turn around times and sometimes our rooming lists are due before we're able to collect all of our registrations.  We are utilizing Passkey more frequently and that has helped for some of these challenges. It's a great tool for us to cut out the response time of emailing a hotel contact and waiting for a reply to know if a change has been made.

    • What challenges are you facing with room block management? We always face that we owe all the names in or closing things out one+ month out from the event and sometimes we just don't have registration done that early. We then have issues where sometimes we fully pay for people but sometimes clients can't allow that and need to pay but we can't take credit cards because of GDPR and it confuses the whole issue.
    • Are you currently using Passkey? Sometimes if the venue allows

    What challenges are you facing with room block management?
    Managing multiple blocks across different hotels with different levels of attendee room assignments. 

    Are you currently using Passkey?
    Not currently using this but looking into options for future events.

    Our challenges are mainly with courtesy blocks. It can be difficult for brides and social planners to have realistic expectations of attendance numbers. I have limited each courtesy block over our peak weekends to a certain number for each group and to have a few different groups rather than put all my eggs in one basket on a group that may not even pick up.

    • What challenges are you facing with room block management?  I have used Cvent for many years, so I remember when the rooms' function had a time stamp on the reports. I miss this but have found ways to work around it when we don't have the option of using passkey for a program. 
    • Are you currently using Passkey?  We use passkey when offered by a hotel and I find it easy to work with when the blocks are correct.

Lots of last minute cancellations due to COVID and how that affects billing and reconciliation (i.e. if an IPO individual cancels and you haven't already collected CC info, you have no way to hold them accountable for cancelation fees).
