Our most recent Community Conversation with the Association & Non-Profit User Group was filled with practical insights, peer-driven discussion, and updates on the evolving Cvent platform. If you couldn’t join us live or want a quick refresher, here’s a recap of the highlights and themes that emerged from our conversation.

Integration Spotlight: Building a Connected Tech Stack

  • Associations and nonprofits depend on a variety of tools—CRMs, marketing platforms, virtual event solutions, and more. Integrating these with Cvent is essential for unified data, streamlined operations, and actionable insights.
  • Popular Integrations: We covered out-of-the-box solutions for Salesforce, Marketo, Eloqua, HubSpot, and Microsoft Dynamics, as well as custom integrations and robust APIs for unique needs.
  • Key Benefits:
    • Data synchronization for a single source of truth
    • Enhanced member engagement through targeted communications
    • Streamlined event management with automation
    • Improved reporting and analytics
    • Better lead management and follow-up
    • Consistent member experience, including single sign-on
  • Demo Highlight: A live walkthrough of the Salesforce integration showed how contact data can be pulled directly into Cvent during registration, reducing manual entry and ensuring data accuracy. Once the initial setup is complete, the process is straightforward for planners.

Community User Group: Your Peer Resource

  • We spotlighted the Community Association & Non-Profit User Group as a dedicated space for users to connect, ask questions, share success stories, and discuss challenges.
  • How to Join: Navigate to the Community tab, find the user group, and click “Join User Group.”
  • Stay Connected: Adjust your email settings for real-time or daily digest notifications so you never miss a discussion or resource.

AI Features: Efficiency, Personalization, and Insights

  • Cvent’s AI enhancements are designed around four pillars: user efficiency, personalized attendee experiences, data and insights, and venue/vendor collaboration.
  • Current & Upcoming Tools:
    • AI is being integrated across the event lifecycle, from agenda assistants for attendees (coming soon) to session feedback summarization and predictive insights for planners.
    • Beta programs are available for users to test new AI features and provide direct feedback to product managers.
    • All AI features are included in the event management platform—no add-ons required.

Data Privacy & Accessibility

  • Best Practices: We recommend regular risk assessments and consulting with legal/data privacy experts for tailored advice.
  • Cvent Trust Center: A one-stop resource for documentation on data privacy and security, especially helpful for organizations with strict IT governance.
  • Accessibility: Cvent’s web design follows WCAG 2.2 guidelines, with ongoing efforts to ensure new features (like AI chatbots) are compliant.

Measuring Event ROI: Beyond Attendance

  • We discussed metrics that go beyond simple attendance to demonstrate event ROI for nonprofits:
    • Fundraising revenue and new donor/sponsor acquisition
    • Engagement and satisfaction (session feedback, participation)
    • Awareness and community impact (social shares, testimonials)
    • Technology and data integration (tracking attendee behavior across touchpoints)
  • Reporting Enhancements:
    • “Build Your Own Reports” with AI is in beta, allowing users to generate custom reports using natural language. Session feedback summarization and predictive insights are also available or coming soon.

Peer Q&A: Real-World Challenges & Solutions

  • Badge Printing & App Usage: Attendees shared experiences and tips for customizing badges and maximizing app engagement, with a reminder that trial and error is part of the process.
  • Email Automation: There’s demand for more flexible post-registration email scheduling (e.g., drip campaigns). Users are encouraged to submit enhancement requests via the Product Ideas section in the Cvent Community.
  • Payment Adjustments: Nonprofits discussed the challenge of managing credit card fees when attendees switch paid workshops, highlighting the need for more efficient credit/refund workflows.
