  • 1.  Automating Payments For Partial Payments

    Posted 07-16-2024 15:56

    Hey everyone!

So, our team has an issue on its hands. We allow our attendees to make payments on packs (Groups) of tickets. These are either 10, 20, 30, 40 etc groups of tickets so, large purchases that they then can recruit others to attend with them.

Our old system, we were able to setup Stripe Subscriptions that would auto charge the payment method each month in order to ensure that payments were made on time and that we didn't have a ton of outstanding funds coming up to conference. We have tried allowing the partial payments for a couple year in Cvent and no matter how many emails go out, they are still a LOT of outstanding payments when the attendees arrive onsite that we have to take care of, or have to setup payment plans with our finance department. Has anyone found a work around to be able to easily automatically charge attendees for payments to their tickets?

    Thanks,

    Mike

    Hi Mike,

Thanks for your question! The only option here would be to manually go in and charge the card that's on file each month. From there, you can send out an email confirming their payment went through and continue to do this process until all payments are complete. I would recommend putting detailed information in the confirmation email that this will be happening, so the attendee isn't confused when they payment goes through.

    Thank you!

Thanks Erica, I know that is Cvent's solution but unfortunately, I don't have a staff member I can dedicate to processing over 1,000 "automatic' payments each month so, thats not really an option for us. We have found that even with just a couple hundred it only semi works because the credit cards sometimes disappear from the system (Change in CC from the processor etc), so, the work just stacks up and it becomes a much bigger job than just a quick process the card.

    Thanks,

    Mike
