Hi Julie,
Thank you for raising the question about adding a virtual component to your already live in-person event.
We've seen other customers in this situation, and there are two main paths:
-
Keep the current event In Person and create a separate virtual-only event (recommended)
-
Your existing event stays as In Person, so there is no disruption to OnArrival check-in, badging, or the onsite experience.
-
You create a second, virtual-only event specifically for remote attendees and use Attendee Hub to stream your sessions.
-
This adds some configuration work (two events to manage), but it is the lowest-risk option a few weeks out from the live date.
-
Switch the current event from In Person to Virtual and use it for both audiences
-
This can unlock the virtual session and streaming settings you need in Attendee Hub.
-
However, changing the format to Virtual will introduce trade-offs:
-
Certain OnArrival flows can be impacted (for example, badge printing and some self-service scanning behavior are no longer available in the same way).
-
Some in-person gamification or QR-based features in Attendee Hub may also be limited.
-
This option is technically possible, but it carries more risk this close to the event and is better suited when the onsite experience is lighter or more flexible.
Given your event is already live, has strong in-person components, and is only a few weeks away, our guidance would be to keep the current event as In Person and spin up a separate virtual-only event for streaming. This protects what's already working onsite while still giving you a clean, reliable virtual experience for remote attendees.
Hope that this helps!
