  • 1.  Display registrations on Event List page

    HI there

I am sure there is already and answer to this somewhere, but not quite sure how to phrase the question for the correct search results, so here goes:

On my Events List page, is there a way to display how many people have registered for a session? I can see the class capacity and registration status, but I was not seeing an option that will allow me a quick view of how many have signed up - or how close to capacity we are for each session.

Is there a way to get a global overview of sign-ups for all my events?

It was mentioned that a cross-event report might be the way to go - but this feels like an awfully tedious way to get this information - I would have thought it should be a number easy to view - which makes me think I am missing something obvious here.

Any suggestions and guidance would be superb!

    Thank you

    D

I haven't seen anything that would list how many pr percentage who registered for a session. It would be a good idea and probably help registration.

Global Overview would be a CrossReport. Invitees and Registrants is one you report to use. WIll need adjust the filtering.

    Hi Declan,

Are you talking about the list of events that appears when you first log into Cvent? On this page, there is a default view that shows event title, code, event status, start date, yes (which is the number of accepted registrants (aka people who have registered for your overall event)), no (anyone who has declined attending your event), and invited (total number of invitees invited to your event.) These numbers are for the OVERALL event itself, not the individual session level. If you want to create a custom view, you can click on "Create View" and choose which fields you'd like to appear in your view when you log in instead and you can set this as your default view, so it appears as your view moving forward when you log into Cvent. However, the available fields are for your overall event level and not individual session level within the events, which it sounds like you might be looking for. This article walks through how to set up a custom view further if interested: Organizing Your List of Events

For a given event, if you would like to see high-level session registration numbers and where you are trending towards your capacity for these sessions, you will need to click into the actual event name itself from the list of overall events in your account and then go to Agenda > Session List and under the registered column, it will show you how many people have registered for a session and if there is a capacity for the session it will show how many people have registered for the session/the total capacity of the session for all of your sessions in the list. This number is also hyperlinked, so you can easily click in to see who these people are. Within a given event as well, you can go to Reports > Agenda Item Summary > Item Type: Session and it will show you a nice table with the session name, capacity, number of those registered, and number of those attended (if tracking participation for the sessions) for all sessions in the event. So this is a good way to see this information for sessions within a given event.

If you would like to see this for your events outside of the overall events landing page when you log into the system, you can run the "event details" cross event report for whatever date range you'd like and that will show you overall event stats for those registered, declined, cancelled, no response, etc. for all of the statuses and you can easily export to excel from here as well. If you want to see this for the individual session level, you can run the  agenda item - registration summary cross event report to see this for a given date range across all individual sessions within your events as well. I would recommend saving this report(s), so you can just log in and run it easily every time with the criteria you have set up within the saved reports tab of your cross event section. I looked at the question all wrong. I was thinking of the agenda page. :(

Thank you - it turns out that turning on the "Yes" field was all I needed to do to see the info I wanted.
