• Setting Up Your Event Management Account: You might assume that the next logical step after purchasing Event Management software is creating and managing an event, but neglecting to update a few critical account settings first can complicate things. Follow the steps below to ensure that when you do get around to creating your first event, it's as smooth an experience as possible.

• • Add users: Ensure everyone can perform their jobs by setting up who has access to what. For those who will be the main point of contact for invitees, adding their emails to the account upfront will save you from the nightmare of having to forward all those messages later.
  • Set up payment processing: If you plan on collecting credit card info during the registration, you'll need to set up a merchant account. Since this can take some time, it's best to get started on this right away. No one wants to be stuck with the nasty task of tracking down registrants with failed payments.
  • Build the foundation of your future events: Plan on collecting info that isn't in your Address Book every time? Add custom contact fields. And if you want your invitees to see, select, or pay for different things, contact types give you the versatility to create different registration experiences in the same event.

• Creating your first event: You may be apprehensive about creating your first event, but relax. The Event Wizard walks you through building the event framework. You can change anything you create with the wizard later so don't worry if you're not sure about a date, color, or location. I would say the biggest impact Cvent has had on the events I have worked on is organization. You can keep all program details in one place so that other team members can see what is going on and you have historical records to look back on. It is a huge timesaver overall.

I think my biggest tip is to create a full event to keep as a template for any type of program. I would use data tags where ever you can, build out any internal fields you might use, your reports, budgets, and so on. That way when you copy this template, every portion of the event management has a starting place and you don't have to start from scratch each time. Once you identify your standard repeat programs, then you can create separate simplified templates for those.

• • It has given us the ability to automate manual processes which makes us more efficient, increases data integrity and reduces risks.

  • Create your most comprehensive registration path as a master registration path and then duplicate it and update that duplicated path.  It will save you a lot of time in recreating repetitive question/field widgets and give you cleaner reporting.  We also use this method for our templates.  We create a master template for the most complex event build configuration, duplicate it, then update it.

• How has Cvent's Event Management solution impacted your events? There is no doubt that this has allowed us to track and report events more accurately. It also allows all of our events to have a consistent process and feel for all attendees, and follow all brand guidelines.
• Any tips you'd like to share for creating events for first-time users. Create a template. Start with your most robust type of event with the most moving parts and maybe the most complex registration process. Once you have that you can duplicate and remove anything you don't need on other events. If you work on specific types of events, and create a template for each type, then it's a really quick turn. Just don't forget that when their is a policy update or something similar, you have to make the change in all the templates.

Impact to events:
Being able to use tools like speaker management to streamline communication and event deliverables has streamlined how we interact with our speakers and saved tons of time one what was once a very manual process. And our speakers appreciate being able to log into the speaker site to find all the info thay need and submit their materials. 

Tips for first timers:
There's so much more to this than creating a registration site! From clearly defining needs to structuring the site to developing a solid communication plan, look at the whole experience from start to finish, not only on the planner side but on the attendee side as well.

Cvent has had a huge impact in streamlining and making planning easier! I was lucky enough to start using Cvent when it didn't have so many features, so my advice for first-time users is to start simple by creating an express event. Once you've built that template and played around with the tool a bit, familiarized yourself with the menus, it will be easier to add some of the extra features such as the speaker and exhibitor portals or the attendee hub. 

Also, make good use of the community and knowledge base! They're your first stop for help :)

For first-time users: what has been the biggest challenge AND the biggest help is the lingo. It's a challenge when you don't know what to ask to get to the answer you need, so really take some time with the glossary and the trainings to familiarize yourself with the lingo. Searching the community for answers, or even popping in the chat for assistance, goes MUCH smoother if you know the right terms to use!
