  • 1.  Exhibitors Randomly Being Marked as Hidden

    Hello Cvent Support Team,

    I'm reaching out because we've been experiencing an ongoing issue with our exhibitor listings.

    Several exhibitors are intermittently becoming hidden on our website because the "Hidden" toggle is being turned on without any action taken on our end. This appears to happen randomly, I am not manually updating these exhibitors, yet they are no longer visible on the site until I go back in and unhide them.

    Could you please advise:

    • Why the "Hidden" setting might be activating on its own for certain exhibitors?

    • Whether this could be related to sync settings, permissions, data imports, or automation rules?

    • What steps we can take to prevent this from continuing to happen?

    This is causing confusion for our exhibitors and requires repeated manual corrections, so any guidance or a permanent fix would be greatly appreciated.

    Hi Frances,

    Thank you for flagging the issue with some exhibitors intermittently appearing as Hidden and dropping off your website.

    Based on how the hidden setting for exhibitors works, here are the most likely causes:

    • The system will not randomly hide exhibitors on its own. The Hidden toggle is usually changed by:

      • A user updating the exhibitor profile from the planner side, or

      • Exhibitors being created via the self sign-up link, which intentionally creates them as Hidden by default so they can be reviewed before being made public, or

      • An import that updates exhibitors in bulk and includes a column/field controlling the Hidden status.

    • Syncs to Attendee Hub and your website respect the current Hidden value; they don't change it. If an exhibitor is already set to Hidden, sync will simply stop showing them to attendees.

    To prevent this from continuing:

    1. Confirm how these exhibitors were added

      • If they were created via the self sign-up link, it's expected that they start as Hidden. In that case, you can either review and unhide them after approval, or adjust your process so those exhibitors are added directly from the planner side instead.

    2. Review any recent imports

      • If you've imported exhibitors , you should check whether that file or feed is sending a value that sets Hidden = Yes for certain records. Cleaning up that column/field will stop exhibitors from being re-hidden.

    3. Spot-check a few affected exhibitors

      • For a handful of examples, our support team can look at who/what last updated the record and when. That will tell us whether it was a manual change, an import, or a system integration.

    If you have already completed steps 1 and 2 above, I would recommend sharing 3–5 example exhibitors and when you noticed them disappear with our support team so that they can troubleshoot this further.
