  • 1.  How are medical associations tracking conference attendance for CME credit?

    Hello everyone,

    I'm interested in learning how other medical associations are tracking attendee participation at their conferences for CME credit.

    Our organization currently uses Cvent for event registration and on‑site management, but we're evaluating whether our approach to attendance tracking and credit validation aligns with best practices and use of Cvent. We'd love to learn how others are handling this-especially for multi‑day conferences with concurrent sessions.

    A few specific questions we're hoping to learn more about:

    • What methods are you using to track session attendance (badge scans, mobile apps, QR codes, self‑attestation, etc.)?
    • What has worked well for you and what would you avoid doing again?
    • What Cvent workflows you've found especially effective for CME attendance compliance?

    Any insights, lessons learned, or examples you're willing to share would be greatly appreciated. Thank you in advance for helping us learn from your experiences.

    Hi Jill,

    We utilize a few features within Cvent to meet our CE requirements for attendance tracking.

    -We scan attendees into their sessions using Cvent's OnArrival app.  We embed the QR code into the attendee badges in the badge designer tool

    -At the end of the session, we have our presenter post a slide with an evaluation code.  Attendees then are required to enter that code when they evaluate the session before receiving their CE certificate.

    -You could use the OnArrival app to scan attendees out of the session if you didn't want to use a verification like the code.

    It's not a foolproof system as people still end up coming into sessions late or missing the scanners.  But it has worked for the majority of attendees for us.
