  • 1.  How do you hand out badges at your events?

    We have a sizeable event coming up, but not big enough to buy onarrival for badge printing.  How do you display badges at your events when you're expecting 200 attendees?  In the past, we have spread them alphabetically by last name  across a big table but it's difficult to find names when you have that many badges.  I'm looking for suggestions on layouts, organization, or anything you can think of that helps the line move quickly through registration.  We have three additional stations they need to visit after they pick up their badge.

    For a similarly sized event, we feel laying them out on a table looks rather messy.  We organize them in relatively small boxes with alpha tab inserts.  We have those boxes on a table behind registration and assign one or two of our staff the task of locating the badge and handing the badge to another staff member that is greeting the attendee.  The greeter is occupying the attendee with instructions on the registration flow while waiting to be handed the badge. 

     

    If a badge is not found, the attendee is directed to yet another staff member who then registers them on the spot. This results in the need for a printer at the registration table to support that task.

    We still hand out badges. We use PCNametag to print our name badges. Last year they came in these trays.

    Thank you for the replies.  I think having stations with A-H, I - Q, etc. would be a better solution.  I appreciate the feedback and sharing your solutions.  We use PC Nametags as well, so they are already sorted by alpha last name in trays when they arrive.

    We actually use OnArrival for our seminars under 200.  However instead of using OnArrival 360, we use OnArrival Premium and rent the equipment from Cvent.  This is referred to their Event In A Box "EIB" option.  There is a site where you can order the equipment & badge stock. In addition to the equipment, you receive the services of a Cvent project coordinator to help set-up your badge layouts and a window of service on your set-up day for your event.

    Before OnArrival, we preprinted our 300+ badges and alpha-sorted them into smallish boxes.  We then set up the registration/check-in table with A-F, G-R, and S-Z signs.  One staff per alpha section would quickly find and hand out the attendee's badge from the associated boxes.  This worked really well for many years.
