  • 1.  Importing sessions registrants in bulk through Sessions Bundles?

    Posted 21 days ago

    Hello,

I've created a regsitration website in Flex for approx 600 pax. Registration is now closed. Our 3-day event program is divided into 18 different sub-programs with a total of 185 Sessions created in Cvent, including Location and Speakers.

I'd like to assign the sessions in Bulk and I was wondering if that was possible through Sessions Bundles ? I was thinking about creating various Sessions Bundles regrouping the sessions included in each one of them, but it doesn't seem to be the way to go.

The Attendees > Import Registrations option is possible but not very efficient, considering the number of Sessions!

Eventually the goal is to have a Personal Event program for each attendee on the Mobile App (timings, location, speakers).

I'd be happy hear your recommendations or ideas!

Thanks a lot for your help!

    Hi Matthieu,

    Hope you are well!

I reviewed your query and unfortunately, we cannot import registrations in bulk with session bundles. However, I have two alternatives for you :

    A. If the sessions are free, you can register the registrants for the sessions using 'Update Session registrants' option.

Go to Attendees > Attendee List > Select the invitees > Click Bulk Actions > Update Session Registrants > Choose Update method = "Register all for a session" (or the available wording) > Pick the correct session from that sub‑program > Confirm (and choose whether you want to send session registration emails).

You'll need to repeat steps 3–7 per session, but this is still much faster and less error‑prone than maintaining a 185‑column import file.

    B. If the sessions are paid, use Import Registrations with a carefully built Excel file. You can import the registrations in batches, adding only those sessions that the set of registrants are suppose to register as column headers and import them.

    C. Another option is you can let the invitees modify their registration and select the sessions they want to attend to their registration to reduce your manual work.

You can refer to the following articles for your reference :

Additionally, you can also contact our Support team and they can assist you with a walkthrough on the set up.  You can refer to the following link to get the toll free number for Cvent Support (https://support.cvent.com/s/communityarticle/Cvent-Support-Hours-and-Toll-Free-Numbers) and then press Press 1 for Event cloud > Press 1 for Setting Up Event > Press 1 for Events > Press 1 again for Managing Event for immediate assistance.

I hope this helps. Please do let us know if you have any further questions.

    Hello Raashi,

    Thank you for your reply.

All sessions are free for this event. I'll first give it a try and might mix up each alternative, which hopfully will save me some time.

    Thanks again for your assistance!
