Hi Omaima,
Hope you are well!
Apologies for the delayed response!
There could be several reasons why the response or the question didn't appear in the report.
- Reporting text not added
- Question Was Deleted (or Removed from Site Designer)
- Question Not Present on All Registration Path
- Report Is Not Filtered to "Accepted" Invitees
- Visibility/Conditional Logic Issue
- Custom Contact Field vs. Registration Question Mismatch
1. Reporting text not added - If a Reporting Text value is set on a question, the question will appear in reports under that label instead of the actual question text shown on the registration form. If the field is left blank, the full question text is used in reports. To fix it, please take the following steps :
Site Designer → Registration → Select the Question Widget → Edit/Settings → Reporting Text field
2. Question Was Deleted - If a question was deleted from Site Designer after some registrants had already answered it, the answers are no longer displayed in reports - even though the data technically still exists in the backend.
Fix: Restore an older published version of Site Designer that still contains the question. This can bring the answers back into visibility in the report.
3. Question Not Present on All Registration Path - If the event has multiple registration paths and the question was only added to one path, registrants who used a different path will have no answer - even if they are accepted.
Fix: Check that the question has been added to every relevant registration path in Site Designer.
4. Report Is Not Filtered to "Accepted" Invitees - If the report includes all invitee statuses (No Response, Visited, Cancelled, etc.), those invitees will appear as rows with blank answers since they never completed registration.
Fix: Open the report → Change Report Data → Invitee Status → select Accepted only → Save and Run.
5. Visibility/Conditional Logic Issue - If the question has visibility logic (show for specific registrant types, based on another question's answer, etc.) and some registrants didn't trigger that logic, the question was never shown to them - so no answer exists.
This also applies to sub-questions - if only the parent question was marked mandatory but not the sub-questions, registrants can leave sub-questions blank even when required.
Fix: Review visibility logic in Site Designer and confirm whether the questions are appearing for all registrant types/paths.
6. Custom Contact Field vs. Registration Question Mismatch - A question may have been set up as a custom contact field rather than a registration question (or vice versa). When building the report, looking in the wrong section means the answers appear blank - but the data exists under a different field category.
Fix: In the report's Fields tab, check both the Custom Contact Fields section and the General Registration Questions section to confirm where the question's data is stored.
If all these above fixes doesn't resolve the issue, then I'd request you to please contact our Support Team and they'll look into the issue for you and raise it to Technology team if needed for further investigation.
