    Planning and executing an event is only part of the journey; capturing the outcomes and insights afterward is crucial for continuous improvement and future success. Here's a guide on what to include in your event recap or post-event reports to ensure you're capturing the full picture.

    Event Overview 

    • Event Name and Date: Clearly state the event name, date, and location
    • Objective: Summarize the primary goals and objectives of the event.

      Key Metrics 

      • Attendance Numbers: Include total number of registrants, attendees, and no-shows. 

      • Engagement Levels: Highlight engagement metrics such as session attendance, participation in Q&As, and social media interactions. 

      • Demographics: Provide a breakdown of attendee demographics like industry, job titles, and geographic locations.

      Financial Summary 

      • Budget vs. Actual Spend: Compare the planned budget against actual expenditures. 

      • Revenue Generated: Include details on ticket sales, sponsorships, and other revenue streams. 
         

      Attendee Feedback 

      • Surveys and Polls: Share key takeaways from post-event surveys and polls. 

      • Testimonials: Highlight notable quotes or testimonials from attendees and stakeholders.

      Content Performance 

      • Session Ratings: Include ratings and feedback on individual sessions or workshops. 

      • Speaker Performance: Summarize speaker ratings and any notable comments.

      Marketing and Promotion 

      • Campaign Performance: Review the effectiveness of your marketing campaigns, including email open rates, click-through rates, and social media engagement. 

      • Press Coverage: Include any media coverage or press mentions of the event.

      Operational Insights 

      • Logistics: Report on the success of event logistics such as registration, check-in processes, and on-site management. 

      • Technology: Evaluate the performance of event technology, including virtual platforms, mobile apps, and AV equipment.

      Challenges and Learnings 

      • Challenges Faced: Identify any challenges or issues encountered before, during, or after the event. 

      • Lessons Learned: Document key lessons learned and actionable insights for future events.

      Next Steps 

      • Follow-Up Actions: Outline any follow-up actions required, such as sending thank-you emails, sharing recorded sessions, or scheduling debrief meetings. 

      • Future Recommendations: Provide recommendations for improving future events based on the insights gathered.

      These are great! My post-event recap reports include most of these. However, for our key metrics, I also include a few other stats, including First Time Attendees, furthest distance traveled to attend, number of pre-event non-donors vs. post-event non-donors (number of attendees turned donors!)

      We like to keep track of number of registrations and revenue per event vs. the cost of chargeback fee to the unit using the platform. This gives us great use-cases for how low-cost the Cvent platform is for high revenue return.

      • What key elements do you keep in your post event recap report? 

      In addition to info we always include photos and images in our post event recap. We then include all metrics and some YoY data, what works/didn't work on all areas of the event, client and employee/internal feedback

      I like the idea of including Next Steps.  This is not something that we currently include, but I can see where it would add value.
