Part 1: Sending the Location Change Email with a New Calendar Hold
STEP 1: Update The Event Location
Before sending any emails, update the location in Cvent so all future calendar attachments reflect the correct details:
- Go to Event Overview → Registration → Event Information
- Update the Venue/Location field with the new address
- Click Save
This ensures that any calendar file generated after this point will carry the updated location.
Step 2: Send The Location Change Email With a Calendar Attachment
You have two options:
Option A - Use the "Event Information Change" Email (Recommended)
Cvent has a dedicated Event Information Change email type that is specifically designed for this scenario. When the Attach Calendar File (.ics) toggle is enabled on this email type, it sends registrants an updated calendar invite in Accepted state with the revised details.
- Navigate to Email > Event Emails
- Locate or create the Event Information Change email
- Enable the "Attach Calendar File / Add to Calendar" toggle on the email settings
- Manually send to all accepted registrants
Option B - Resend the Registration Confirmation Email
If the Event Information Change email is not set up, you can resend the confirmation email with the calendar attachment:
- Go to the Attendee List / Invitees
- Filter for Accepted registrants
- Click More Actions → Send Confirmation Email
As of September 2025, manually sent emails now automatically trigger calendar holds, as long as the calendar attachment option is enabled on the email. You no longer need to rely solely on automated triggers for calendar holds to work.
The original calendar hold does not auto-update just because the location changed in Cvent. Cvent is not live-linked to calendar applications.
- Attendees who already accepted the original invite will need to open and accept the new .ics for their calendar to reflect the updated location.
- For Outlook users especially, include a clear note in the email body that the location has changed and that they should accept the updated invite.
- For attendees using Google Calendar or Apple Calendar, the new .ics will generally update the existing entry when opened.
- It is also recommended to advise registrants to delete the old calendar entry if the new one creates a duplicate.
Part 2: CTA Button for Registrants to Acknowledge/Confirm Attendance
There is no native "acknowledge location change" or "confirm attendance" button built into Cvent emails. This has been explicitly confirmed - there is no out-of-the-box feature for an attendee to click a button to reconfirm attendance to a new location directly within a Cvent email.
However, here are the available alternatives:
Alternative 1: Custom Button Linking to a Registration Modification
Add a custom button/link in the email body using the {[E-MODIFY REG LINK]} data tag. When clicked, registrants are taken to their registration confirmation page where they can review updated details. While this isn't a dedicated "acknowledgment" button, it serves as a re-engagement touchpoint where they actively log in and view the updated event.
Alternative 2: Custom Button Linking to an External Form
Insert a custom button in the email (using the Button widget in the Cvent email editor) that links to an external survey or form (e.g., a Cvent Survey, Google Form, or similar) where attendees can confirm they've noted the location change.
Alternative 3: Survey Email with a Yes/No Question
Use a Cvent Survey email or send a standalone custom email with a link to a quick one-question Cvent Survey asking registrants to confirm they can still attend at the new location. Survey responses can then be pulled into a report.
