    Hi!

    I have the hotel request widget set up in my event. We have attendees that are coming with their spouse, so they will stay in the same room. 

    I have the occupancy set to 2, so that 2 people can be assigned to the room. 

    I've edited the language to essentially appear as though the room will be assigned to the attendee and their spouse. 

    However, in the managing the hotel request section / reports.  

    It shows 1/2 the amount of nights under nights requested. And it shows .5 under the nightly room count.

    Also under manage hotel requests it shows1 of 2 rooms. Do I need to assign the guest to the room or change the occupancy to 1?

    Is there any further information about managing hotel requests? I've been searching and I can only find the basic hotel widget setup information. We are not doing roommate requests or pairing.

    Hello Abbey,

    If room occupancy is set to 2 but the spouse is not assigned as a guest in the system, Cvent will display fractional values in reports (for example, ½ night requested or 0.5 nightly room count). This occurs because the system expects both occupants to be registered and assigned to the room. When only one person is assigned, Cvent interprets the room as only partially utilized.

    The "Allow multiple occupants" setting is intended primarily for roommate matching or scenarios where two separate registrants are assigned to the same room. If you are not using roommate matching or tracking the spouse as a guest, and simply want the room reserved for the attendee and their spouse without separate guest registration, set the room occupancy to 1. This ensures one room is blocked per attendee and all reports display whole numbers (e.g., 1 night, 1 room).

    If you need to track the spouse as a guest (for reporting, badges, or other purposes), enable hotel requests for both invitees and their guests in the Hotel Request widget settings. During registration, the attendee can submit a hotel request for their guest. You can then manually assign the attendee and guest as roommates in the Manage Hotel Requests section.

    To change the occupancy setting after test or live data already exists, you must first cancel all existing hotel requests for that room type. Once canceled, you can edit the room type and update the occupancy to 1. If editing is not allowed, mark the existing room type as inactive and create a new room type with the correct settings.

    For reporting, use the Hotel Request Details report. To view both the primary registrant and their guest, include the "Primary Registrant (Guest Of)" field and group the report accordingly.

    Roommate matching is not required unless you are pairing unrelated attendees or managing guests as separate records. Let me know if this helps. Thank you!
