  • 1.  Planner Alert for Air Requests

    Has anyone ever been able to get the system to send only one planner alert for air requests that contains both the invitee's and their guest's air request info? I've only ever seen the system send two planner alerts – one for the invitee and one for the guest. The travel agency we're using for an event right now is saying they only ever receive one alert.

    Hi Lauren - 

    You may want to check your planner alert and see what data tag is being used to pass the travel info over.  If you are looking to include both the primary registrant and the guest, you may want to use the All Registration data tag:  {[C-ALL REGISTRATION INFORMATION]} or if just for Air Actuals:  {[C-ALL AIR ACTUALS]}

    Unfortunately, I just get an error when I try to add that data tag to the planner alert.

    Hi Lauren,

    Hope you are well.

    I checked this and tested it in my own test event and when you create a planner alert for Air request Submitted, the system sends 2 alerts for same invitee, however, the details within the alert will be different. One will be for the primary invitee and another one will be for the guest, displaying their individual air requests.

    As of now, the option to display the air request details for both, primary and guest, within the same alert is not available. I understand your perspective and apologize for any inconvenience. But, it sounds like a great feedback. I suggest you to post this on the 'Ideas' tab of Cvent community. 

    However, I do have an alternative for you.

    You can create a custom email in the event and keep the audience type as 'Accepted registrants' and add the {[C-MY AIR]} data tag within that email. This data tag will display the Air request details of the primary and the guest within a table. Now, within the email 'Advanced settings' you can add your travel agent's email address under 'Additional recipient' so that they can receive a copy of this email displaying all the travel details of the primary registrant and the guests.
