  • 1.  Registration Page Setup for Different Tracks

    Posted 05-27-2025 16:43

Okay, I am a stone-cold newbie on this and have been able to figure out some things, but for other things (that I could create in my sleep in Qualtrics), I'm at an utter loss. Basically, this is what I'm trying to accomplish:

One main registration page, with a drop-down option for:
Those attending just the one-day pre-conference - Those who select this will then have the option to register for the "newbie" track or the "seasoned" track

Those attending just the one-day conference - Those who select this will then be asked which of the sessions they are interested in attending  - not written in stone, as we need this information in order to determine which sessions will go in which rooms, based on interest.

Those attending both the pre-conference and the conference - Those who select this will be given both of the options above

Speakers (who might want to attend sessions that don't conflict with their presentations) - Invited speakers will get the same option as those registering for the one-day conference

Staff - This is primarily for transparency, to keep attending staff in the information loop about the event.

Do I have to create five separate registration pages based on these five registration types? Or can I use the main landing page for registration with a drop-down menu for each of the five registration types, with page logic (presuming there is page logic) taking a registrant for each type to the specifics mentioned above? There are no fees involved for any of the registrants, so that's not an issue.

    Hi Mary,

You're definitely on the right track, and welcome to the world of Cvent! You don't need to create five separate registration pages-Cvent can absolutely handle this using Registration Types, Registration Paths, and Visibility Logic (which is similar to page logic in tools like Qualtrics).

Here's how you can approach it:

    1. Create Registration Types:

Set up the five types-Pre-conference only, Conference only, Both, Speakers, and Staff.

    2. Use a Single Registration Path (since there are no payment differences):

You can use visibility logic to show or hide different sections of the form based on what the registrant selects.

    3. Add a Dropdown Question Early in the Form:

Include a dropdown with options like:

      • Pre-conference only

      • Conference only

      • Both

      • Speaker

      • Staff

    4. Apply Logic to Subsequent Sections:

Based on the dropdown selection, you can show:

      • The "Newbie" or "Seasoned" track choice (if they select Pre-conference or Both)

      • Session interest checkboxes (if they select Conference or Both or Speaker)

      • A simple message or confirmation section for Staff

    5. No Need for Fees? Even Easier!

Since there's no pricing or payment setup, you can focus entirely on customizing the experience with visibility logic rather than managing Admission Items.

So yes-you can absolutely use a single registration form with a dropdown and logic to branch the experience for each registrant type.

Please contact me if you need any assistance with your event in Cvent.

    Hi Mary,

I highly recommend checking out the resources that Cvent has available as you're starting out.  A few knowledgebase articles that can help you with the situation you describe are:

When should I use registration types vs. registration paths?

When should I use registration types vs. admission items?

    Creating Admission Items

I also recommend checking out the Learning Center for Registration, which offers tons of beginner-friendly resources: Registration Learning Center - Cvent Community

Another great resource is Cvent Academy.  If you have access to this online learning platform through your Cvent account, I highly recommend starting with the Event Management for Planners learning plan.  There are a ton of helpful classes in the Academy for all Cvent products that you might be working with.

You've already started using the forums, which is another fantastic resource, and I encourage you to keep using the forums with any questions that you can't find the answer to.

    Welcome to Cvent!
