  • 1.  Separate Pending Approval Registration Path

    I have an event that currently uses a single invitation list, and only attendees on that list are able to register. To save time, we would like invited attendees to be able to forward their invitations to others. For anyone who is not on the original invitation list, I'd like to set up a separate registration path that takes them to  'pending approval'. How can I set this up?

    Hi Isabelle,

    Here's a concise overview of how we'll set this up so forwarded invitations go to Pending Approval, while your original invitees are auto-confirmed:

    1. Create a new registration type

      • General → Registration Types → Add a type (e.g., "Forwarded Invitee").

    2. Create a pending-approval path

      • Registration → Registration Process → Open Site Designer.

      • Duplicate your current path, rename it (e.g., "Forwarded / Pending Approval").

      • Path gear icon: set Registration Type = Forwarded Invitee, Privacy = Open to public, and toggle Approve registrations manually ON → Apply → Publish.

    3. Keep the invited path auto-confirmed

      • On your original path, path gear icon: leave Approve registrations manually OFF and restrict Privacy to your main invitation list → Apply → Publish.

      • Email → Invitation Lists → open your invited list → Edit Settings → Assign registration type = Yes → Invited → Save.

    4. Create a dedicated link for forwarded invitees

      • Marketing → Weblinks → Create Link → type Registration Path → Forwarded / Pending Approval → Save.

      • Use this URL only for people coming via forwarded invitations.

    5. Update your invitation email

      • In the invitation email, keep the main Register button for invited guests.

      • Add a second link/button like:
        "Forwarded this invitation to you? Register here (subject to approval)."

      • Point that second button to the Forwarded / Pending Approval weblink.

    6. Approve or deny forwarded registrations

      • Attendees → Attendee List → filter to Pending Approval → select records → Change Status → Approve or Deny.

    Hi Julianna, 

    Is there a way to have both the pre-approved invitees (on the invitation list) and the ones who'd be shuffled to the approval-needed registration (coming from our public website) to select from the same set of registration types? Our reg types right now are profession-based (industry, education, governement...).

    Hi Beline,

    The core constraint to know: In Cvent, registration approval is a path-level setting, and each registration type can only be assigned to one registration path. So if you want two separate paths - one for invitees (no approval) and one for public (approval required) - you can't share the exact same reg types between them without duplicating them.

    Here are your three main approaches:

    • Single path + registration approval on (recommended for simplicity): Everyone - invited and public - registers through one path and sees the same profession-based reg types. The tradeoff is that invitees also land in "Pending Approval" status, so your team would need to do a quick bulk-approval sweep for them after they register. This keeps your reg type setup clean and avoids duplication.

    • Two paths + duplicated reg types: One path for invitees (no approval) and one for public web (with approval). Each path gets its own copy of the profession-based reg types. Both groups see equivalent options, but you'll need to maintain two sets of reg types going forward.

    • Reg-type-specific links in invitation emails: Invitees arrive pre-coded to a reg type via a personalized link in the email, which routes them to a no-approval path. Public web visitors go to a separate approval-required path. This requires careful link management per reg type but avoids some of the duplication overhead.

    For most setups, the single-path approach is the least complex - especially if bulk-approving your invitee list is a manageable step in your workflow.
