Shared Links Auto-populate Senders Information and Does Not Allow New Registrants to Enter Their Information

  • 1.  Shared Links Auto-populate Senders Information and Does Not Allow New Registrants to Enter Their Information

My registrants are occasionally experiencing an issue that I am not sure how to address.  When a new registrant is sent a link, Cvent will assume that the new registrant is the person who sent them the link and will auto-populate the sender's information into the registration.  If the new registrant tries to enter their own information, Cvent will not allow them to register.  No matter how many times the new registrant closes the registration site or uses a different link, Cvent will always auto-populate the sender's information.  There is another variation that if the sender is already registered, Cvent will ask the new registrant to log in with the sender's confirmation number.  The only fix I have found is cleaning the cache and cookies.

If I had to guess, I think the original link that is being sent is directly copied from the browser address bar which has the sender's information baked into the page because they have opened the link.  Is that possible?  Is there a way that I can prevent this from happening as an Event Coordinator?

    Hi Benjamin,

I hope you are doing good.

Yes, there is definitely a way you can fix this. This is happening because your emails currently have the "RSVP YES" data tag in it. These data tags allows our websites to identify the attendees and prefill their information. These data tags are specific to each invitees. That is why if you forward your invitation email to someone else system would still think that it is you who is trying to register and would prefill your data. System only would allow you to change 2 out of the 3 fields (First, Last name or Email Address) all 3 fields can not be changed because then the system knows that you are not the correct person trying to register.

The fix is quite simple. In case you want people to forward these emails without prefilling the information. Just go to your email > Design Email> Go to the designer >Remove the RSVP link from the email and replace it with the "Registration" weblink that you can find under the "Marketing" section of your event left Navigation panel.
You can hyperlink this registration weblink to any text or button. Weblink are not specific to any invitees and does contain any specific invitee information.

However, just a heads up because you are now replacing the data tag with the weblink the system won't prefill the First, Last Name and Email Address for invitees on its own.
