  • 1.  Cvent Live Stream (Zoom): Engagement & "Know Before You Go" Best Practices

    Hi everyone! 👋

    I'm currently working on an upcoming event using Live Stream powered by Zoom in Cvent, and I'd love to learn from others who have experience with this setup.

    A couple of questions for the group:
    • Do you have any tips, tricks, or lessons learned when using Live Stream powered by Zoom within Cvent?
    • How are you encouraging attendee engagement during sessions (chat, Q&A, polls, etc.)?
    • What strategies have worked well to get attendees to actually network and interact with each other-not just passively watch?

    I'm especially curious about the pre-event experience:
    • Do you host a "Know Before You Go" session or walkthrough of the platform?
    • If so, has that helped increase engagement and comfort level with the tools?

    We're exploring ways to make the experience more interactive and would love to hear what's worked (or hasn't!) for your teams.

    Rebecca, we haven't used the Live Stream before, so I'm no help with the platform specifics. However, we just started using Live Display and Q&A in our in-person general sessions. This was new to us, so I scheduled a meeting with Cvent Support to be sure I had everything set up correctly and knew what to do. We also had a run-through with the AV and the "Emcee" before the conference started. It was a big help that the AV company was familiar with Cvent technology. We were able to work out the glitches.

    Additionally, with anything new, the adoption rate is slow at first. In our first session, the attendees didn't understand they needed to scan the QR code on the Live Display to "check in" and be eligible for CEUs. By the third session, they were ready with their phones!

    To encourage engagement, make sure the host constantly mentions the chat, Q&A, polls, etc. If it seems like a lot, it's not. Make a joke about "Hey, did I mention you can ask questions in the Q&A?" For our in-person general session, we set up some questions and asked random attendees to post them. That seemed to get the ball rolling.

    Hi Rebecca,

    We've been using the Zoom Livestream feature since Cvent first rolled it out, and we've had success with our hybrid events.

    For your questions below - 

    Tips
    We've found that it's helpful to have some pre-scrolling slides ready to go for that 5-minute prior mark when attendees are able to push the join button.  It's a great communication tool and gets attendees excited.  We've also done a "live from the event behind the scenes" for those 5 minutes before we show the main stage.  There are lots of creative opportunities to use those 5 minutes prior to kick off.

    Attendee Engagement
    We use chat on all of our virtual sessions.  We've limited Q&A to the workshops as our audience is too large to do Q&A for the general sessions.  We also have scheduled Group Meet Ups for our virtual audience to keep them engaged.  We've set  those up in the system as collaborative sessions, and we have a speaker "host" those to keep the conversation going.  We also have "Backstage" sessions for the virtual audience to engage with our staff team and play games for prizes.  We do the game questions through the chat.

    Pre-event
    We have a pre-event video of our host talking attendees through some key things to know before you go.  When the event was 100% virtual during the pandemic, we also used a video to demo how to use the platform features.  We also do a standard know before you go email that is tailored to the audience (one for in person and one for virtual).

    The tools are pretty user friendly.  We've found that people are quick to adopt the features.
