    Posted 14 days ago

Hi - looking for some advice re event subscriptions and how these should be handled in Cvent?

We have a series of events that we run each year whereby the company will pay in advance for a number of tickets at a set cost. We will still then need them to register for the specific events in the platform, what would be the best way to handle this without having to add in any of the payment section, as this is not needed? I keep getting an error saying the payment widget / payment method needs to be there, but this is not needed. Is there any way to bypass this?

    Hello Fran,

You're hitting a core Flex rule: if an event is set to take payments, the Payment widget + at least one method is required. You can't bypass this while fees are active.
Even if the payment widget is added in the registration process. If there is no fee to pay then the system will not display the payment widget as nothing to collect from the registrants.

    Best approach for prepaid/subscription model

    1. Make the event free in Cvent

    • Set all fees to £0.00
    • Turn off payment collection in settings
    • Remove the Payment widget/page (error will disappear)
    • Attendees can register without any payment step

If you still want to show value:

    • Add a text block like: "Ticket value: £X (already paid by your company)"

    2. Track usage separately

    • Create registration types per company (e.g. "Company A – Prepaid")
    • Use reports to track registrations by company/type

Feel free to ask if you have any further questions. Thank you!
