  • 1.  QR Codes for Nametags

I know that attendees can be issued QR codes for event check in.  And I know that you can print QR codes on attendee badges.  Are these 2 QR codes the same?  If yes, what does scanning the QR code on the attendee badge do?

    Hello Lynn,

Both the check-in QR code and the QR code printed on an attendee badge identify the same attendee in Cvent; however, they are not always guaranteed to be the exact same physical QR image. Each QR code contains an identifier (typically the confirmation number or secure badge ID) that points to the same attendee record in Cvent/OnArrival.

In most standard configurations-where the badge QR code is set up to embed the confirmation number-the check-in QR and the badge QR effectively use the same identifier and will behave the same way when scanned in OnArrival.

When the QR code on the attendee badge is scanned in OnArrival, the app reads the embedded ID and performs an action based on where it is scanned:

    • At event check-in/registration:
The system looks up the attendee record using the confirmation or secure badge ID, checks the attendee in, and can trigger badge printing if part of a kiosk or registration workflow.

    • At session scanning locations:
The system looks up the same attendee record and checks them into the session. Depending on configuration, it may also handle session check-out and duration tracking.

    • For NFC/RFID badge association (if applicable):
The QR code is used to retrieve the confirmation number and associate or activate the NFC/RFID chip for that attendee's badge.

    • If used for lead capture, it shares the attendee's contact information according to the event's configured sharing settings.

In summary, both QR codes function as identifiers tied to the same attendee record. The action taken upon scanning depends on the workflow within OnArrival (event check-in, session tracking, or badge association).

Let me know if you need any further details. Thank you!

    Regards,
